Maintenance Coordinator/Administrator Full Time, Monday to Friday 9am-5pm Permanent Southport £26,000 per annum About us: An exciting opportunity has arisen for a Maintenance Coordinator/Administrator to join our family owned business. With 20 homes in our portfolio, Dovehaven are an established and growing care group providing residential, nursing and care homes in Southport, Liverpool, Preston, Ormskirk, Leyland, Accrington and Wigan whilst also specialising in dementia care. We have been providing this high quality care for our residents for over 40 years and pride ourselves on the happy, welcoming atmosphere in all of our homes. Across all Dovehaven Care Homes, we provide a full range of care for both long term and respite periods. Duties and responsibilities Answer calls and e-mails from colleagues regarding their repairs to the homes and buildings within the portfolio, dealing with them empathetically, professionally AND positively, ensuring their queries are answered and resolved within the agreed timescales Log all works and costs accurately onto the system To manage the helpdesk and reactive maintenance works process To ensure that administration is completed and portals are updated in a timely manner Communicate with the maintenance site team regarding allocation of work Use appropriate software to ensure that orders are logged in a timely and accurate manner Maintain an organised system of digital and paper records to include liaison with the accounts department, when required Verbal and written liaison with internal business stakeholders in order to resolve all jobs raised Responsible for administering all contract documents and ensuring that all contracts are appropriately executed and correctly filed Administering the CRM to include adding enquiries and exporting relevant data for sales meetings Ensuring the maintenance order book is up-to-date and correctly maintained Administer the 'Jobs Board' to ensure it reflects the current position at all times What we are looking for: Excellent communication skills, both verbal and written Excellent software skills specifically Microsoft Office packages Discretion and understanding of confidential issues Strong personal time management ability Ability to work on own initiative as well as part of a team Exceptional attention to detail Reliability Flexibility People-focussed Good problem-solving abilities Assertiveness Confidence Skills & experience required The successful candidate will be highly organised, familiar with co-ordinating multiple tasks simultaneously and thrive on working to deadlines.
