As we continue to grow, we’re looking for a detail-oriented, proactive and personable Office Administrator / Executive Assistant to keep our operations running like clockwork and support our directors.
About the Role: We’re looking for a proactive and highly organised Office Administrator / Executive Assistant to play a central role in keeping our business operations running smoothly. This position is perfect for someone who thrives on variety, takes initiative, and is confident in supporting senior leadership with day-to-day administrative and PA duties.
Key Responsibilities:
* Executive Assistant Support: Provide direct operational support to the Directors, including prioritising workloads and assisting in managing day-to-day tasks as an extended arm of the Directors.
* Administrative Operations: Oversee the day-to-day administrative functions of the business, including maintaining systems, managing emails, preparing documentation, updating records, and supporting internal teams with their administrative needs.
* Contractor & Client Support: Handle key administrative processes such as contractor compliance, timesheet management, and liaising with payroll companies and external clients to ensure smooth service delivery.
* Document Preparation & Reporting: Draft and format documents, presentations, and reports for internal use. Maintain and update spreadsheets tracking performance, compliance, and other key business data.
* Onboarding & Offboarding Support: Manage administrative tasks related to new joiners, including setting up IT systems, preparing contracts, gathering necessary documentation, and ensuring a smooth transition into the business.
* CRM & System Use: Confidently navigate internal systems such as the business CRM, Office 365 and any other chosen external software.
* Communication Hub: Act as a point of contact between consultants, clients, and contractors – ensuring everyone receives timely, professional, and friendly support.
* Social Media & Basic Marketing: Contribute to the company’s online presence by creating simple social media posts, sharing job roles and company updates on platforms like LinkedIn and Instagram.
What You’ll Bring:
* Proven experience in a similar admin or EA role, ideally in a recruitment or fast-paced business setting
* First-class organisation and multitasking skills
* A confident communicator with strong written and verbal abilities
* High attention to detail and ability to work autonomously
* Friendly, professional, and trustworthy with sensitive information
* Comfortable using CRMs, Microsoft Office, spreadsheets, and general office systems
