Job Summary This role is central to protecting the ICO’s reputation as the information rights regulator by ensuring we comply with statutory obligations, standards, guidance and established good practice in relation to how we manage our information. The post holder will influence good decision making in relation to information management across the ICO, supporting innovation, responsible sharing and ensuring the ICO is efficient and effective in information management. The post holder will develop system specific information and data governance documents, and contributes to the development of policies and training where required and raise awareness of those policies within ICO and with external suppliers. Job Description The post holder will manage the ICO’s digital information and data all through its lifecycle, leveraging data life cycle management tools e.g. Microsoft Purview. The post holder will also lead projects relating to digital information management and preservation and contribute to cross office work where their expertise is required. The post holder is expected to contribute to other aspects of the Information Management Team work, including compliance work e.g. privacy notices, retention schedules and DPIAs, for which appropriate training will be provided. Key Responsibilities Develop good Knowledge of processes required for TNA digital transfer, including establishing procedures and processes to ensure information in scope of the Public Records Act can be preserved, located and extracted timely. Lead on the Information Management Service’s input into responses to Public Inquiries, ensuring that identified information can be disseminated for review and then transferred with appropriate metadata as required. Maintain good knowledge of changes in Microsoft 365 and SharePoint records management functionality and lead on the implementation of good Governance in our digital systems. Lead on digital work with external stakeholders, for example, contractors, suppliers, or The National Archives, to develop relationships or to seek advice or agreement to help promote or improve information management. Contribute to Technology and Innovation agenda by working with colleagues across data services to improve information asset registers and data cataloguing. Develop digital information management and preservation policies and keep under review to ensure they are aligned with business needs and priorities and any legislative changes. Lead the development, maintenance and growth of effective digital records management and work to encourage a consistent approach to information management across the ICO by working closely with DDaT teams and specific groups as well as communication of messages more widely. Work closely with the information management service manager to ensure effective processes are in place to manage the life cycle of ICO’s data and information from creation to disposal or transfer to the National Archives for permanent preservation. Contribute to supporting the business in understanding and undertaking compliance tasks including DPIAs, review of PNs, retention schedules and asset registers and Contribute to report on progress against business plans and risk registers. Maintain excellent knowledge of the relevant legislation, regulations/codes of practice and current thinking within the discipline of information management and compliance. About you Essential criteria assessed at application stage Substantial experience relevant to the role requirements, as described in the role responsibilities and person specification, and accumulated through any combination of academic or vocational qualifications or experience. Good knowledge of digital continuity and information governance in SharePoint and Microsoft 365, knowledge of the National Archives digital transfer or handling Public Inquiries would be an advantage. Good working knowledge of information risk analysis/management. Ability to lead and deliver change and contribute to culture change successfully. Ability to influence at senior levels on matters relating to information management and associated risks. Good IT skills, good knowledge of governance in SharePoint and Microsoft 365 Essential criteria assessed at interview stage Ability to influence at senior levels on matters relating to information management and associated risks. Good verbal and written communication skills and ability to communicate effectively at all levels, internally and externally. Understanding and experience of complex legislation, guidance, standards and codes such as Public Records Act 1958 and section 46 code of practice, GDPR or similar.
