To work in Exeter/Eastern area of Devon. Office base Exeter. Hybrid working available - but the expectation is that there is regular office attendance.
The post holder will:
1. be part of the Nursing and Quality Directorate for NHS Devon Integrated Care Board (ICB) their aim will be to improve the quality of care and value for money of services commissioned for individuals who are the responsibility of NHS Devon ICB.
2. play a key role in supporting the Continuing Healthcare (CHC) service across Devon. Working within the remit of the current National Framework for NHS Continuing Healthcare and NHS-funded Nursing Care.
3. provide business support, administrative leadership and general office management to deliver a high quality, comprehensive administrative service.
4. ensure the smooth running of the Continuing Healthcare Team by providing leadership and supervision to the admin team and support to the clinical team. They will have a strong administrative background with good organisational skills, excellent telephone manner and experience of work allocation and prioritisation. They need to be enthusiastic, motivated, with strong communication and excellent customer care skills.
5. be responsible for their own workload, including having responsibility for personnel administration. Will supervise and allocate work to staff in lower bands and will be responsible for day to day management of a group of staff.
Main duties of the job
1. Work within a dynamic team, delivering an effective service as part of the NHS Continuing Healthcare team. The post holder must have basic knowledge and experience of working within the health sector or Social Care sector.
2. Supervision and complete appraisals of Admin Staff
3. Allocation and management of cases requiring assessments by the CHC Nurse Assessors
4. Creating panel lists, reviewing progress and performance including monitoring information
5. Prioritise incoming and outgoing information
6. Diary management
7. HR for the Clinical and Admin Teams
8. Organise and prioritise your own daily activities and tasks
9. Plan and organise meetings with other teams, professionals, agencies etc
10. Allocating work to the admin team and assist in developing improvements and introducing changes to the admin team
11. Completing minutes for panel and safeguarding
12. Produce reports for the Lead Nurses and CCG
13. Ability to learn new computer systems

Person Specification
Experience
* Clear communicator with excellent writing, data entry and presentation skills: capable of constructing and delivering clear information/ instructions to staff and service users
* Knowledge of NHS continuing healthcare legislation, the National Framework and associated guidelines
Skills & Attributes
* Administrative or relevant experience including initiating and maintaining office systems, including a working Knowledge of Microsoft Office including Word and Excel
* Time management skills with the ability to re-prioritise

* Ability to work effectively as part of a team.
* An ability to maintain confidentiality and trust in a professional, calm, and efficient manner.
* Positive and flexible approach to work.

Qualifications
* Significant administrative or relevant experience including initiating and maintaining office systems.
* Experience in dealing with sensitive and confidential information.
* Knowledge or experience of minute taking or note taking skills
* Intermediate knowledge of IT systems and software programmes such as Outlook, Word, Excel, Powerpoint and Access
* Educated to NVQ 3 level in a relevant subject or equivalent level of qualification or significant equivalent previous proven experience
