Litigation Support Legal for Lettings are a new law firm that entered the market with a sole purpose of providing straight forward, fuss free, and competitively priced legal services to landlords and their letting agents. The firm is a wholly owned subsidiary of the UK’s largest tenant referencing provider in the private rented sector; Barbon Insurance Group, and a member of a fast-growing international insurance group; PIB Group. Our team of experienced legal professionals specialise in resolving disputes between landlords and their tenants, providing innovative and affordable legal services. The Legal Support Assistant role is one that is integral to our continued success. You will be responsible for providing administerial support to the firm and all team members. You will speak with customers daily; customer service is at the heart of everything we do and providing an excellent service will be your 1 priority. Key Responsibilities: You will be the postal/email gatekeeper for our firm: You will open all inbound post, date stamp it, scan it into the case management system, passing all inbound post to the Team Leader or a Senior Paralegal for review before allocation to the relevant team member; You will support all team members with their printing, placing outbound post into envelopes, franking the envelopes and ensuring that the post is with reception by the daily cut off time. Where exceptional post runs are needed, you will ensure that the post is ready for the designated person to take it to the post office; You will maintain the email accounts for the firm (contact & legal), ensuring that all inbound emails are dealt with by you as first point of contact, where possible, or passed onto the relevant file hander to respond. Email inboxes will be clear at the end of each day. You will be the telephone gatekeeper for our firm: You will take all inbound calls, providing clients with the updates they seek or put them through to the appropriate file handler; You will regularly speak with clients to obtain information needed by the team to progress matters, chase courts and bailiff offices for updates, to reassure customers before milestone events such as the day before an eviction or the day before a hearing, take instructions from clients on behalf of file handlers, and speak with customers at the end of their case to obtain feedback on our services; You will be responsible for all outbound SMS messages for the firm, ensuring the daily reports are uploaded to the SMS portal and updating files accordingly; You will support the management team with: taking meeting minutes for audit purposes; Supporting the management of workflow in the firm by distributing CLT Tasks to the relevant file handlers; keeping the firms excel trackers, such as PBA, Advocate, Court Fee, Oldest Date, etc., are kept up to date daily; arranging facilities for meetings; helping with the organisation of events, such as conferences, webinars and podcast recording; making firm purchases; organising incentives for the team; Where there are peaks in customer demand and you are requested to by a senior team member, you will also be required to support with basic tasks such as: drafting simple applications such as: Warrants of Control/Possession; Attachment of Earnings; Third-Party Debt Orders; Charging Orders; and Orders for Questioning. Supporting the onboarding of new private clients to the firm by: Opening new files; Carrying out AML/KYC checks; and Preparing invoices in accordance with the agreed pricing structures. There may be other reasonable requests for you to support the firm on an adhoc basis. Fitness & Propriety You will be assessed on a regular basis in line with PIB’s requirements to ensure that you: Maintain your ‘fitness’ at an appropriate level to undertake the function you perform in a sound and prudent manner at all times-this relates to your experience, knowledge, skills and professional qualifications(where appropriate) and associated CPD. Maintain your ‘propriety’ at all times-this relates to good repute, honesty, integrity and financial soundness. This includes advising the firm of any changes in circumstances and conflicts of interest that could materially affect your fitness or propriety. Have undertaken or are undertaking all relevant training. Compliance of Fitness & Propriety will be evidenced through PIB’s annual checks on Fitness & Propriety (e.g. financial soundness), through annual performance reviews and through completion of your Fitness & Propriety Declaration.
