Job Duties
**This is a non-exempt, hourly position without benefits, eligible to work up to 1,500 hours annually (May 1 – April 30). **
Under the guidance of the Central Records Manager, this position oversees the evening shift regarding the following duties: receive, identify, properly code, and prepare agency documents to be recorded, scanned, and archived as a permanent record.
Work hours:
4:30 - 9 p.m., Monday - Friday and 8 am - noon on Saturday, as necessary due to workload
Duties:
Prepare incoming documents for scanning (e.g., remove staples and paperclips, review documents for complete information, and verify quality).
Verify prepped documents for completeness, quality and accuracy prior to scanning.
Assign and key document codes, based on document type, into the Manual-ID queue of the iCapture System.
Key individual numbers, employer account numbers and appropriate dates (based on document information) in the Index-Edit queue of the iCapture System.
Input and monitor documents as they are processed through the automated iCapture Imaging System.
Review source documents, identify and analyze discrepancies, make corrections as needed, verify accuracy of output, and follow protocol to destroy original documents.
Identify, divide and move documents as required within the Document-Assembly queue of the iCapture System. Verify scanned images in VUIS for image quality and accuracy of coding (e.g., document type, assigned numbers, and dates).
Operate scanners to transfer documents from hard copy to image within the iCapture System.
Review source documents, identify and analyze discrepancies, make corrections as needed, verify accuracy of output, and follow protocol to destroy original documents.
Respond to user requests for document and report problems to supervisor for resolution.
Minimum Qualifications
Working knowledge of office practices and procedures.
Strong supervisory, organizational and data entry skills, specifically related to 10-key processing.
Ability to supervise staff; coordinate and direct the workflow.
Ability to receive, sort and prepare documents to be scanned; use basic office and scanning equipment;
Ability to respond to requests for information; maintain confidentiality; follow oral and written directions.
Ability to comply with records retention guidelines.
Ability to use automated systems to enter and retrieve information; and perform high-volume, repetitive manual tasks requiring attention to detail.
Ability to lift and carry up to 25 pounds.
Additional Considerations
Prefer experience working with automated processing systems (e.g., iCapture and VUIS).
Prior experience supervising staff in a high volume environment.
