Role Description
The Sales and Events Coordinator will be responsible for converting inbound sales enquiries, planning and managing events, communicating with clients, providing excellent customer service, and driving sales. This role involves on-site event management and has scope for quick progression. You will be involved in developing Peddler Market as a monthly event as well as other brands in the Peddler Events portfolio.
Key Responsibilities
EVENT SALES
1. Respond to inbound enquiries (within 24 hours) with a view to convert and meet sales targets
2. Ensure all bookings have signed booking forms
3. Monitor and report regularly on designated inbound sales, flagging any low-enquiry weeks and working with marketing to increase sales leads
4. Identify opportunities for additional sales and generate relevant sales proposals
5. Communicate any venue investment ideas to MD
6. Manage logistics for event equipment for onsite and satellite events
7. Work with event delivery team to develop our sales offering and clients to recognise regular requests and potential ‘packages’
8. Ensure invoicing and payment processes are followed and deadlines met
9. Work with team to develop in-house curated, ticketed event concepts
10. Work with clients to develop relationships into additional revenue streams and convert to an account who works with us multiple times a year.
11. Contribute all sales data to our database of current, previous and lost clients
12. Keeping CRM, Calendar and team up to date with your enquiries
13. Location scouting and competitor research
14. Providing marketing with material for Social media
EVENT MANAGEMENT & PRODUCTION
1. Ensure all events are planned and delivered to client’s specification and budget, collate feedback post-event
2. Project Management sheet to be completed with production schedule / P&L / floorplan and communicated with bar / event team in weekly meeting
3. Work with the Bar Manager to ensure timely orders for drinks and pre-orders / special requests are confirmed and invoiced ahead of the event.
4. Completing back end operations for all events linked to your accounts. Using Asana to make sure you are completing all tasks and to assign other team members their tasks for each event where support is needed
5. Working with food traders to make sure they have all the information they need in time to produce quality menus and products, work with a wider team to book in Food Traders well in advance and communicate with them all event needs.
6. Sense check rotas with MD / Bar Manager to ensure delivery team is appropriate for the event (inc. set up & pack down)
7. Support MD with additional production bookings for the year and continue to make cost effective bookings to share resources.
8. Using Hubspot and Asana to update any changes to the event so the whole sales and events team are aware of developments
9. Developing ways to improve each event. Creating added touches to make every one of our events extraordinary.
10. Making sure all paperwork is up to date. All invoices are paid ahead of events, all sales receipts are logged properly and sent to accounts and logging feedback and testimonials.
11. Maintain accountability for the event from prep, execution and post-event. Ensuring all production administration from booking forms, to production schedules, to risk assessments and invoicing is complete and the venue is reset back to the standard set up ready for the next event.
12. Monthly KPI and event report presentations with Head of Events
Qualifications
Bachelor's degree in Event Management, Hospitality, Business, or related field
Core Competencies:
1. Experience of working in the events industry
2. Experience of working in a target driven sales environment
3. Demonstrable success in a Sales/Event Production role
4. Passion to create extraordinary events and develop event delivery skills
5. Sales skills including ability to listen and identify the needs of the client
