In this dynamic role, your organizational skills will shine! You’ll assist with every detail from processing logistics requests, handling flight manifests and scheduling, to handling unexpected flight delays. Your role will also encompass crucial administrative functions like fielding calls, supporting on-site visitors, and coordinating with Catering to assign rooms. You will assist with facilitating site tours, updating work instructions, and supporting employees with flight and schedule changes. If you are excited to join our team, we encourage you to apply!
Responsibilities include:
1. Process all Transportation & Accommodation Request forms for persons requiring travel to site
2. Create and submit flight manifests, daily reports, and manifest change forms
3. Obtain departure times and ETA’s; finalize manifests, print and distribute boarding passes, communicate luggage and water sample weights to carriers
4. Coordinate logistics in the event of a flight delay, including communication with ground services at all pick up points, with all employees, Catering, and coordination of meals for off-site passengers
5. Setup and maintain work schedules and flight rotations for all employees, and update applicable lists and forms
6. Support senior team members with ongoing review of aircraft seat capacity and routing deviations
7. Reception: manage incoming calls and provide on-site support to employees and visitors
8. Work with Catering office to allocate rooms for all employees, visitors, short & long term contractors; entering all assignments into SAP
9. Prepare documentation to authorize gate access and ensure waivers are received
10. Perform routine time entry audits
11. Assist with composing and updating work instructions, procedures and training manuals
12. Support internal customers and relay information regarding vacation balances, flight changes, and time entry adjustments
13. Assist with maintaining the Vacation and Management Schedules
14. Assist team members with other duties as required
15. Must carry traffic cell phone

Skills and Qualifications for the position include:
* Office Administration Certificate or Diploma is preferred
* 5+ years’ experience in Administration or in an office environment
* Experience with MS Office including Word and Excel
* Experience in SAP is considered an asset
* Organization and time management skills to coordinate efforts and meet deadlines
* Able to work independently and under pressure
* Ability to make administrative and procedural decisions, and maintain confidentiality
* Cooperative and collaborative with the ability to work as part of a team
* Preference will be given to qualified Residents of Saskatchewan’s North (RSN). Athabasca residents will be given priority
Work Location & Schedule:
* 14 day in/ 14 day out rotating schedule
* Normally an 11 hour work day, although some activity outside of normal working hours may be required
