Role: Estates Support Administrator
Salary: £26,000 per annum
Hours: Full time, 40 hours per week
Location: Central Support Office, Colchester
Your Role
Administering the QFM system ensuring all relevant information is allocated against each job raised, including quotes, job sheets, and regular status updates are logged and provided to internal customers.
Allocating, scheduling and monitoring through to completion all works raised through QFM system to relevant contractor or property team members in line with Service Level Agreements (SLA).
Supporting the administration process for all CAPEX and OPEX works including processing requests for approval, requesting quotes, raising purchase orders and tracking and monitoring through to completion.
Ensuring all PPM/Compliance servicing is delivered on time and tracked through to completion and that master spreadsheet is kept up to date, chasing and following up on overdue servicing and compliance where required.
Ensuring all Purchase Orders are logged and monitored, and regular updates provided on overdue works.
Processing invoices for approval and ensuring appropriate sign off through eBIS system in line with payment terms.
Managing the end-to-end process of Environmental and Building, Water and Fire Risk Assessments, ensuring saved on QFM and shared with relevant service, and remedial actions are raised with SMO through job sheet or quoted for externally where required.
Supporting the Estates Support Manager during major incidents across the estate, ensuring contractors and SMO’s are attending and that progress updates are monitored and provided to Head of Estates and where appropriate, other stakeholders.
Ensuring that all relevant Consensus colleagues have appropriate access to the QFM system, and are appropriately trained.
Organising and distributing Trade UK cards and business top up cards and issuing trade account details to SMO’s and RWO’s.
Generating regular reports as requested from stakeholders from QFM system to monitor compliance, contractor & SMO performance and job status.
Providing general administration support to the Estates team, including booking meetings, accommodation and diary management.

About You
To be successful in this role, you will:
* Have plenty of experience within administration role within Estates/Property Services helpdesk function.
* Be efficient and have excellent organisational and administrative skills.
* Be able to plan, prioritise and organise own work to meet deadlines.
* Have extensive IT skills – including Microsoft Word, Excel and Outlook and be able to set up spreadsheets and enter and manipulate data and produce reports.
* Have experience using CAFM system and experience within the health and social care setting.
* Be confident, flexible and efficient.
* Be a great team player who is self-motivated who has a keen eye for detail.
