Role Summary As the first point of contact, you set the tone for the entire office—creating a warm, welcoming, and organised environment where employees and visitors feel valued. With a keen eye for detail and a passion for efficiency, you keep the office running smoothly, from managing schedules and supplies to coordinating events and fostering a positive atmosphere. As the Receptionist & Office Coordinator, your key responsibilities will be: Creating a Welcoming & Organised Workplace Serve as the first point of contact, warmly greeting and directing visitors. Maintain an up-to-date employee and department directory and ensure guests feel comfortable with clear instructions and refreshments. Maintain a clean, inviting, and professional reception area by following office procedures, safety guidelines, and best practices. Facilities & Security Management Open and close the building on responsible days ensuring the environment is ready for the day and for employees arriving. Hold and manage spare keys for cupboards, rooms, offices, pedestals, shredding consoles, and the smoking bin. Monitor building security by issuing visitor passes, maintaining fire registers, and ensuring adherence to safety procedures. Contact and coordinate emergency contractors (plumbers, electricians, handymen) for urgent repairs or maintenance. Access and adjust the Building Management System (BMS) to control HVAC temperature settings as needed. Ensure fire marshals and first aiders are adequately covered in cases of absence or employee turnover. Taking on the important role themselves if appropriate. Conduct fire alarm testing in line with company policies. Meeting & Event Coordination Manage meeting room bookings, ensuring spaces are clean, stocked with refreshments, and equipped with requested materials. Report any faults in IT equipment located in meeting rooms to the IT/helpdesk team. Assist with catering arrangements, including stocking and replenishing kitchen supplies and setting up for luncheon meetings. Communications and Employee Engagement Support and coordinate employee engagement initiatives and wellbeing events in the office - ensuring engagement and energy behind initiatives. Help to cascade key comms messages across the wider BMI business and ensure all relevant information in the office is up to date and well presented. Office Administration & Supplies Handle and distribute incoming and outgoing mail efficiently, including making courier bookings when required. Maintain stock levels for office stationery, kitchen supplies, and general office essentials. Keep company communications up to date, including Wi-Fi details, taxi contacts, and general office information. Raise and manage purchase orders (POs) for office needs. Executive & Team Support Provide ad-hoc administrative support to the Executive Assistant, including processing expenses, raising POs, coordinating travel arrangements, and managing diaries. Maintain continuity among work teams by documenting key actions, irregularities, and ongoing needs to support smooth daily operations. Your key skills and experience will include: Previous experience in a receptionist role essential Previous administrative experience is essential PC Literate (G suite in particular) Communication & People Skills – Warm, professional, and clear communication with employees, visitors, and contractors. Organisation & Time Management – Ability to multitask, prioritise, and maintain efficiency in a fast-paced environment. Problem-Solving & Initiative – Quick thinking, proactive approach to issues, and ability to coordinate urgent repairs. Technical & Administrative Skills – Proficiency in G Suite, diary management, expenses, and BMS for HVAC control. Customer Service Mindset – Friendly, approachable, and composed under pressure to create a welcoming environment. Attention to Detail – Ensuring spaces are well-maintained, records are accurate, and office supplies are stocked. Teamwork & Collaboration – Works seamlessly with executives, facilities, IT, and wider teams to support daily operations.
