At the PPA (Professional Publishers Association), we're at the forefront of championing the specialist media industry, representing businesses from multinational corporations to independent publishers. Our work spans magazines, online content, live events, podcasts, and more, engaging and influencing diverse audiences. With our subsidiary, Magnetic, we aim to maximise returns from multi-channel magazine brands. Now, we're looking for a highly capable Office Manager & Personal Assistant (PA) to join our Operations team.
About the role
As the Office Manager & PA, you'll ensure the smooth and efficient running of our organisation by supporting the Operations Director, CEO, and wider team. This varied role combines PA to the CEO responsibilities, office and administration management, and programme support.
Responsibilities
* PA support: Manage diaries, organise meetings, handle travel logistics, and provide trusted gatekeeper support to the CEO.
* Office management: Oversee day-to-day office operations, ensuring a safe and welcoming work environment.
* Programme support: Assist in planning and coordinating cross-departmental projects, tracking milestones, and streamlining processes.
* Membership administration: Maintain CRM systems, manage membership renewals, and support member queries, including press cards and barcode management.
* IT & systems oversight: Support website updates, optimise IT systems, provide staff training, and liaise with external providers to ensure a secure and efficient digital environment.
Required skills
We're looking for someone who:
* Has proven experience as a PA to senior leadership, with excellent diary and task management skills.
* Brings strong administrative expertise and experience in programme or project management.
* Is proficient in IT systems, including Microsoft Office, and has experience using CRM and CMS systems.
* Displays exceptional attention to detail, problem-solving capabilities, and a proactive mindset.

Pay and compensation package
* Salary of £32,000 for a four-day working week (28 hours), which equates to a full-time equivalent salary of £40,000.
