At Exeter College, we are committed to providing exceptional support to students with Education, Health, and Care Plans (EHCPs). We are looking for an organised, proactive, and confident individual to join our team as an EHCP Administration Co-ordinator. This pivotal role underpins the smooth operation of our EHCP function, ensuring that we meet legal deadlines, provide seamless communication between departments, and maintain high-quality administrative processes.
Key Responsibilities:
• Diary Management: Co-ordinate and manage the diaries of a team of EHCP officers, ensuring meetings, reviews, and key deadlines are scheduled efficiently.
• Documentation & Compliance: Monitor and manage essential documents and administration, ensuring all EHCP processes meet legal requirements and timeframes.
• Data & Systems Management: Accurately input and maintain SEN-related information on our college systems, ensuring that teaching teams have up-to-date, relevant details to support their students.
• Consultation Support: Facilitate the administrative process of consultations for new starters, liaising with local authorities, schools, and internal teams.
• Meeting Co-ordination: Organise and manage meetings with both internal and external stakeholders, ensuring effective communication and follow-up actions.
• Customer Service & Stakeholder Engagement: Provide excellent service to students, parents, staff, and external agencies, handling queries confidently and professionally.
• Problem-Solving & Adaptability: Navigate a busy and sometimes unpredictable day with confidence and efficiency, prioritising tasks and responding to urgent matters as they arise.
What We’re Looking For:
• Proven experience in administration, ideally within an educational or SEN support setting.
• Exceptional organisational and time-management skills with the ability to juggle multiple priorities.
• Strong IT skills, including proficiency in Microsoft Office and data management systems.
• Excellent communication and interpersonal skills, with a customer-focused approach.
• Confidence in dealing with a wide range of stakeholders, including parents, staff, and external agencies.
• A proactive, solution-focused mindset with the ability to work both independently and as part of a team.
