We are looking for a proactive and experienced Contract Administrator to support the daily operations on behalf of our client. This role is ideal for a highly organised professional with strong administrative abilities and keen attention to detail. The successful candidate will have a desire to develop professionally within a small, supportive team.
Key Responsibilities:
·Assist the Facilities Manager with the coordination of planned and reactive maintenance tasks, using the CAFM system to log and manage all necessary tasks.
·Work alongside the on-site client helpdesk to address maintenance concerns by liaising with engineers or engaging external contractors.
·Schedule and manage subcontractor visits, ensuring all necessary documentation is received and correctly recorded.
·Carry out contractor inductions, ensuring that site registers, RAMS (Risk Assessment Method Statements), and induction paperwork are up to date.
·Provide administrative support to subcontractors, engineers, and internal teams.
·Oversee site compliance logbooks to ensure all required tasks are completed in accordance with regulations.
·Maintain and organise documentation relating to maintenance and repairs.
·Keep the site workload planner up to date, ensuring all engineer tasks are properly documented and managed.
·Collaborate with the Security Team to arrange access for subcontractors and visitors, including sending out daily or weekly schedules.
·Track contract timelines to ensure renewals are proactively managed.
·Assist with invoicing and financial administration for completed works.
·Regularly update compliance records within the client's risk management portal.
Key Skills and Qualifications:
·Solid understanding of planned maintenance procedures.
·Hands-on experience with CAFM software.
·Excellent communication and interpersonal skills.
·Strong proficiency in Microsoft Office Suite.
·Familiarity with industry standards and regulations in facilities management.
