Location : Nottingham office (Hybrid 3 days in office Tues-Thurs) Reporting to: Financial Controller Purpose The Business Coordinator will be the first point of contact for our customers and visitors and be a central point of contact for all general office and business enquires. The Business Coordinator will hold skills in H&S Management, Finance and general admin. This role is responsible for all front of house activities and providing Finance and administrative support. Responsibilities Finance Duties: As a member of the Finance team provide support to assist with the timely and accurate production of monthly management accounts. Tasks include the following: · Raise purchase orders and match to supplier invoices · Reconciliation of company credit cards including associated systems postings · Professional Services drawdown analysis from Sage for invoices for the period · Microsoft analysis · Analyse expenses data for inclusion in the monthly payroll · Input purchase ledger invoices Premises Management: · Managing relationship with building landlord and others using shared building resources regarding general maintenance issues, car parking, H&S, cleaning, shared spaces etc. · Managing the office generally but specifically the kitchen, refreshments and communal office facilities · Meeting and greeting of visitors, refreshments where required · Managing all incoming telephone enquiries and operating the switchboard · Managing room bookings and maintaining the meeting room facilities · Dealing with incoming and outgoing mail and deliveries · Updating notice boards and office information – including H&S, company insurance docs, internal jobs boards, visitor information · Office security and alarm system – ensuring regular testing & maintenance, emergency contact · Office key holder responsibilities · Maintaining and ordering of office stationery, furniture and technical equipment and managing stock control and inventories. H&S management Conduct or arrange regular checks for H&S facilities, e.g. fire alarm, emergency lighting, fire extinguishers, fire doors, first aid kit, PAT testing, electricity mains and gas mains service etc. Manage and maintain internal H&S documentation, make sure all documents are correct and up to date, comply with H&S law and regulations Arrange yearly H&S visit, conduct improvement based on the yearly audit First point of contact for incident/accident reports. · H&S management including DSE, compliance training (Fire/FA), leading quarterly action plans and risk assessment reviews. Supplementary responsibilities · Monthly journals · Balance Sheet reconciliations · Assisting in the organisation of Company events and business communications including hotel and travel booking · Supporting the delivery of our wellbeing programme, including mental health first aid, wellbeing information sharing · Supporting the VP, People with managing a regular cadence of wellbeing events and ‘keeping connected’ and ‘fun’ programmes · Supporting the business with other events, charity, Christmas (this will be shared with Executive Assistant) Knowledge, skills & Competencies Essential · Previous experience managing an office · Proficiency in MS Office suite Exceptional verbal and written communication skills Ability to work on own initiative Vendor Management experience Strong organisational skills Flexible approach to work with ability to pivot when required Proactive and able to anticipate the needs of the team/business Problem solver with positive ‘can-do’ attitude.
