The operations team is a core part of the Auction business and oversees various activities including yard vehicle movements, inspections, VCP, and imagery. Team members are responsible for ensuring all operational processes run efficiently and support the smooth running of the day-to-day function, ensuring sales are delivered successfully and operational and customer service excellence is met at all times.
Scope of Role:
To lead, manage, and drive all aspects of the Operations function, providing dedicated support and resources to ensure effective delivery whilst maintaining customer service and operational excellence through best practice. To promote and work towards continued process improvement and efficiency, working within KPI/SLA’s.
Objectives for Role:
1. To manage and lead the Operations department and team in their day-to-day duties, ensuring that correct resources are available for expected unit entry to inspect vehicles within customer SLA requirements.
2. Responsible for the delivery of on-line performance and measures, ensuring standard operating procedures and Manheim standards are met, driving and reviewing on-line activity, productivity, and quality.
3. Closely monitor productivity and quality standards across the functions.
4. Ensure the Inspections team are productive and delivering a high quality of inspections at all times meeting SLA’s.
5. Complete or ensure all management reports are produced and circulated, highlighting and addressing any performance issues.
6. Ensure customer/internal complaints/queries are investigated thoroughly and in an acceptable timescale.
7. Manage the flow of vehicles throughout the outside operation, ensuring all the functions from Inspection to Recon, Valet, or Storage areas are working in harmony with each other to maximise capacity and efficiency.
8. Ensure the smooth integration of the Inspection and Manheim Assured functions.
9. Ensure any training requirements for the team or individuals are identified and effectively supported.
10. Complete all people management activities including personal development, training, and Learning & Development, as well as completing relevant performance reviews and processes.
11. Through effective communication ensure that all supervisors and operations team members are continuously updated and are aware of what is expected, including supporting/holding daily/weekly team meetings in line with Manheim’s communication framework.
12. Identifying and delivering ways in which to improve processes to drive increased online penetration, increased revenue, and profitability.
13. Continually assess ways of working to ensure the most effective and efficient way of undertaking the processes within your area, ensuring that you and your team work closely with the Service Delivery & Buyer Services teams.
14. Responsible for the co-ordination of Health & Safety for the entire site, ensuring all Health & Safety documentation and training takes place and is completed in a timely manner.
15. Work closely with the Sales and Buyer Services functions to ensure stock management is up to date, including supporting and undertaking regular stock checks.
Skills, Knowledge and Experience:
1. Proven management experience within a similar working environment and successfully managing large teams.
2. Experience of working within rigid regulations and procedures.
3. Proven experience within an Operational/Logistical environment.
4. Experience within a customer-facing role with the ability to resolve customer queries and complaints to mutual satisfaction.
5. Background in a fast-paced business environment.
6. Budgetary and business planning experience.
7. Experience in understanding and analysing financial reports or budgets with the ability to analyse data to drive performance.
8. Excellent interpersonal and communication skills both verbal and written.
9. Good time management and organisational skills with the ability to work to deadlines, prioritise workloads, and delegate tasks.
10. Good analytical skills with the ability to work in line with KPI’s and SLA’s.
11. Good working knowledge of Manheim products and services.
