An exciting opportunity has arisen for a highly motivated individual to provide an effective and responsive business support service to the Strategy and Partnerships team and the Finance Team. This role will support teams across Stockport NHS Foundation Trust and its sister hospital, Tameside & Glossop Integrated Care NHS Foundation Trust Reporting to the Senior Strategy & Partnerships Manager, the post holder will be responsible for: Providing and coordinating business support and secretarial services, including preparation and distribution of agendas and papers for Committees and other relevant meetings as appropriate, under the direction of the Deputy Director Strategy & Partnerships and Director of Finance, in accordance with Trust policies, procedures and timescales; Taking and transcribing accurate minutes of formal meetings in a timely fashion, taking into account the Data Protection Act and Freedom of Information, ensuring that all follow-up action is taken and action logs completed accordingly; Supporting the teams with the management of projects that deliver the Trust strategic and operational plans Effectively managing the diary for the senior team where required, including arranging appointments and project groups/meetings, prioritising meetings/appointments as necessary, ensure sufficient work/reflective time; We hold a unique position in the Stockport community as the provider of healthcare and we are one of its largest employers. Prepare/commission draft responses as necessary, identifying appropriate action or referral. Initiate follow-up action where necessary; Manage incoming emails, ensuring briefings and follow-up actions take place and deadlines met; Act as Office Manager for the department, taking responsibility for the ordering of office furniture, computers, etc; Take responsibility for the overall maintenance of the Aspen House building and facilities, liaising with Facilities and Estates as required; Effectively manage the allocation and usage of the meeting rooms within Aspen House; To oversee the maintenance and development of the relevant pages of the Trust Intranet and website as required by the corporate departments and to maintain the content of the Counter Fraud intranet site on behalf of MIAA; To act as Controlled Stationery Officer for the Trust, ordering and supplying of prescriptions for outpatient clinics in the Trust. Supplying controlled Stationery to department, stock control, ordering stock including prescriptions, keeping accurate record of stock received and issued; To open electronic tenders and authorise for Procurement to have access to them after the closure date; Create and maintain documents in the corporate style using electronic information systems such as email, electronic diaries, internet/intranet, word processing, copy typing, creating databases, spreadsheets and PowerPoint presentations as and when required; Arrange routine and ad-hoc meetings, seminars, workshops and presentations both within and external to the Trust, attending in a support capacity as necessary; Act as a point of contact for senior teams, dealing and responding effectively with complex queries from stakeholders and passing on relevant information to appropriate team members sensitively and autonomously; Ensure strict confidentiality is kept at all times when dealing with sensitive and confidential information; Take a lead role in organisation of the team, including co-ordinating meetings and supplying the relevant information required for financial and HR processes and systems Take the lead in supporting Stockport and Tameside Capital meetings by producing minutes of meeting and tracking/managing actions. Take the lead in tracking and monitoring business cases across Stockport and Tameside; Develop and maintain effective electronic filing systems, to ensure that information is kept securely and is accessible to other members of the team; Required to input, monitor and check data produced and required for on-going programmes and projects; Working with all team members in the collection of information for progress and performance reporting on relevant projects; To carry out other appropriate delegated duties as required; Maintain timely and accurate outputs for all work, balancing continuing and intense work against an unpredictable pattern of daily operational demands; Respond to new demands in the role and to build those responses into sustainable systems and activities; Maintain and evidence continual professional development record.
