The difference you will make as a Project and Regeneration Administration Officer: Provide support to the Development Team to manage the reporting of the affordable housing development programme to ensure compliance with stakeholder requirements. Working with Project Managers to ensure the timely submission of bids and claims for grant, meeting all funding reporting requirements. Provide Personal Assistant (PA) support to the Director and other members of the Management Team as required. Role Profile Public Sector funding reporting Ensure comprehensive data is gathered from project managers to ensure grant claims are submitted in accordance with funding conditions and forecast timescales for a range of public Regularly review projects within the affordable housing development programme, including regeneration projects, to check progress against targets, highlighting any potential risks to meeting funding conditions Research and lead on the guidance on how funding agency databases work, develop systems to support project managers in meeting funding agency requirements and manage the input of accurate financial information to funding agencies. Provide support to the Development Managers to ensure the successful coordination of the Audit of schemes by Homes England and any other funding agencies, such as Combined Authorities. Be the key contact with funding agencies, coordinating responses to any agency requests, ensuring all data and information is managed in accordance with funding agreements. Programme and management reporting Keep records of affordable housing and regeneration projects and assist in developing reports to ensure the programmes have all the necessary approvals in place to ensure compliance with internal procedures and performance objectives. Ensure the careful documentation of public sector funding received by Riverside. Monitor the take up and investment of any recycled grant on new affordable housing or regeneration projects developments, identifying any risks of recycled grant not being used or having to be repaid. Administration Provide administrative services for both the development and regeneration functions within the Development and Growth team including, but not limited to: Production of agendas and minutes and attendance at meetings as necessary Support the Director of Development in managing expenses and other secretarial duties. Assist the Director in the preparation and production of letters, reports, presentational information. Support the Director and wider Development team in arranging meetings and assisting in travel arrangements, hotel bookings and training and conference administration Assist in the management of administrative budgets including staff welfare, recruitment and travel Assist in the maintenance of personnel records and staff related administration including reports on attendance. Support duties for other Development areas Provide support to the Development Manager to resolve ‘Legacy’ issues on schemes that have achieved handover in previous years. Quality and Value – to provide support to Quality and Value team supporting the PSO function to manage defects and complaints, as necessary, to ensure high levels of customer satisfaction, and uploading details of newly built properties on the ‘Open’ IT system. Contract Procurement – working with Riverside’s Procurement Team to ensure compliance with new procurement legislation being introduced in 2024. Person specification Essential: Excellent attention to detail with the ability to work under pressure, deliver to strict deadlines and manage conflicting priorities. Excellent team player who can work flexibly to meet business requirements. Ability to adapt to new computer databases, software and support the team in adapting to new information management systems Effective stakeholder management, both internally and external to the organisation, including the ability to successfully persuade and influence others Commercially aware and results focused with the ability to take ownership of tasks. Relevant and proven administrative experience in a customer focused environment Solid planning and organisational skills. Ability to maintain confidentiality at all times. Desirable: Detailed knowledge of Homes England procedures Experience in affordable housing Experience in supporting and administrating capital investment programmes Knowledge of the housing development process
