Description
As a Project Co-ordinator, you will play a critical role in supporting the efficient execution of aviation projects and ensuring their successful completion. Your responsibilities will encompass various project co-ordination tasks, document management, and communication with internal and external stakeholders involved in a wide range of projects. This position requires exceptional organisational skills, strong communication abilities, and the ability to thrive in a dynamic and fast-paced environment.
Key Responsibilities
Document Management
* Ensure project documentation is up to date, standardised and issued to relevant stakeholders.
* Provide methods for improving documentation management within the projects department.
Communication and Collaboration
* Communicate project updates on a weekly basis to all internal stakeholders.
* Drive collaboration within the project team by listening to project team members and supporting them in completing their tasks and deliverables in the frame of the project.
Schedule and Planning
* Update and maintain project plans inline with instruction from the project managers.
* Assist the project managers in project planning and cross-project planning.
Budget Tracking
* Assist the MRO management in managing the project budget by tracking all project spend. Including direct costs (parts & services) and labour.
* Populate a formal budget tracking sheet on a weekly basis to ensure financial trends can be spotted early in the project.
Risk Management
* Assist the MRO management in managing the project risks and opportunities.
* Updating the risk register and liaising with risk owners to ensure mitigation actions are complete in a timely manner.
Meeting Coordination
* Manage project meeting invites and liaise with attendees to ensure meetings are attended by key stakeholders.
* Record meeting minutes, actions and decisions, then distribute to the internal project team.
Reporting and Analysis
* Provide a weekly written internal report to all project members within given project teams.
* Analise actions being complete on a weekly basis to highlight any trends of regular actions not being complete on-time to highlight areas for improvement.
* Analise project costings to highlight areas of the project where cost is too high and could be reduced.
Skills, Knowledge and Expertise
* Experience in complex project administration
* Understanding of project management principles, methodologies, and best practices.
* Excellent organisational and multitasking skills, with the ability to prioritise tasks and meet deadlines in a fast-paced environment.
* Exceptional communication skills, both written and verbal, with the ability to effectively interact with diverse stakeholders.
* Detail-oriented mindset, ensuring accuracy and consistency in project documentation and deliverables.
* Strong analytical and problem-solving abilities, with a proactive and solution-oriented mindset.
* Working towards or completed a PMP/Prince2/APM Qualification
* Ability to achieve UK Security clearance.
* Full UK Driving licence
