We are looking for a new administration assistant to join our legal team, based in our offices in Trafford Park, Manchester. You may be looking for a career in legal or already have experience working within a similar role. In this role, as well as having excellent administrative skills, we ideally require you to have a basic understanding of Land Registry searches and facilities. You will need to have the ability to be a team player, whilst also be comfortable working independently and be proactive and enthusiastic with your approach to creating solutions to issues that may arise. You’ll need to have the ability to prioritise tasks, work towards delivery targets and achieve tight timescales. You will regularly liaise with a range of people within the business so you need to have great communication skills. Working within the legal team and along side the drawing office, there is a requirement to transport and handle boxes of deeds and documents which will require manual handling and travel to and from the office and deed store on multiple occasions therefore a driving lice. What will you be doing? Day to day, you will be responsible for two areas of work; Deeds & Records and Administration support Deeds & Records This will include maintaining up to date records of deeds held and deeds logged out and physical locations of original deeds within the remote archive store, whilst also ensuring deeds are cross referenced to Land Registry title numbers. You’ll coordinate with the GIS team to: update spatial portal records to record completed transactions and introduce and implement an electronic copy deed system (“New System”) which forms an integral part of spatial portal records As part of your role, you will liaise with teams across the wider business to transition existing electronic records of completed documents into the New System, referred to above. You will also: Implement the electronic scanning of deeds and documents into the New System (some may be outsourced in due course, in the short term there will be a programme of collating existing scanned documents and manually scanning individual documents) Respond to both internal and external requests for deeds and information to physically retrieve deeds and documents from the remote archive store as and when necessary Support for Legal and GIS team on basic Land Registry title enquiries and deeds record searches Investigations into missing documents and assisting where title queries are raised/investigations are required The Administration part of your role will involve you handling post received, scanning and distributing as appropriate, together with general administrative duties. You will obtain wet ink signatures on documents from directors and deal with other electronic signature requests. You will respond to emails and be the main point of contact within the department for any issues which may arise. As part of your role with us, you will also scan and file documents to electronic files and maintain the electronic files we currently have or set up new ones. You will be involved with Purchase Orders – preparing them, once authorised and chasing up any unpaid invoices. You will prepare bank transfer requests, including communicating via telephone with solicitors to confirm bank details. You will also be required to set up meetings, assist with meeting refreshments and co ordinate diaries. As we all work as part of team here, you will also be required to cover our main office reception at lunch time once a week, or occasionally fill in for absent secretaries. On occasion there may also be additional workstreams to support our Company Secretarial function and filings at Companies House. No existing knowledge of this workstream is required, training will be provided if and when such workstreams are required. What will you get?
