Main Purpose of the Role We are seeking a detail-oriented candidate with a logical, methodical approach and strong communication skills to interact effectively with all business partners at Southampton Airport. Your role will be to provide administrative duties ensuring all regulatory requirements are met whilst delivering a positive and efficient service in a busy environment. Key Duties and Responsibilities Complete background checks on prospective employees in line with Civil Aviation Authority standards for airside and non-airside roles Work closely with candidates to understand their 5-year history Reach out to external individuals, including but not limited to candidates’ former employers, schools, colleges, and universities Provide friendly support to candidates, maintaining contact with them as you guide them through the vetting journey Answer any queries relating to the vetting process of a candidate Prioritise and manage own workloads effectively, ensuring KPIs are met Database management Respond to enquires received by both telephone and email Administrative duties to include filing, photocopying and updating electronic documents Validating employee hours worked using an in-house system Processing holiday requests Processing absence (sickness) documentation A variety of general administrative tasks to include, but not limited to, filing, photocopying, scanning Database and document management Using forecast data build a workflow plan via Excel for upload into an automated planning system To interrogate the system generated plan to ensure it meets the operational requirements making appropriate adjustments as required Publishing the final plan to the workforce in accordance with agreed timescales Continually review the daily plan to identify potential issues and pro-actively amend the resource allocation accordingly Close liaise with both operational and management and support teams On-going database and system management General To comply with Company Policies and Procedures and site-specific procedures. Skills and Experience ESSENTIAL Able to provide full five-year vetting history. Good organisational and administration skills with emphasis on accuracy attention to details. Computer literate in Excel, PowerPoint and Word. Ability to work as part of a team. Flexible team member with ability to communicate with the client, managers and colleagues. Excellent customer service skills. DESIRABLE Previous security experience would be an advantage. Previous experience in payroll administration.
