Responsible for the smooth and efficient supervision of all front of house areas connected to the site operation, the Operations Supervisor will be responsible for delivering a high quality service to ensure visitor satisfaction, whilst ensuring a motivational a thorough leadership to the employees, working closely with the Operations Manager. Assisting with all aspects of administration and training delivery to our teams, this role also includes full time Duty Management of the attraction. Roles & Responsibilities: OPERATIONS SUPERVISOR JOB SUMMARY Duty Management - responsibilities as detailed in the Duty Manager Job Description. You will be expected to work weekends and holidays Operational Supervision – Assist the Operations Manager with the management of daily departmental operation Administration Support - Assist the Operations Manager with the management of Health & Safety and finance & administration, along with basic aspects of personnel RESPONSIBILITIES DUTY MANAGEMENT Please see the separate Duty Management Job Description OPERATIONAL SUPERVISION Offer additional supervision to the Admissions and Catering departments, assisting anytime necessary. Supervise the day-to-day cleaning and general maintenance standards, making sure that immediate issues are dealt with and reported immediately Assist the Operations Manager (OM) with always ensuring the highest level of customer care and service, helping to improve the service offered to all our visitors. To assist the OM with updating the ‘Staff Notice Board’ and with departmental rotas To assist the OM in the adherence to all company Policies & Procedures, particularly those set out in the Staff Handbook. To assist the OM in uniform stock taking and ordering. Assist with the interview and induction stages of recruitment, carrying out full and thorough inductions to new staff Conduct training and support with staff members in the Admissions, Maintenance and Catering departments Assist the OM with the ordering and stocktaking of all stationary and office products. To ensure customer queries are dealt with efficiently and effectively in a positive manner. To provide the highest level of customer service at all times. ADMINISTRATION SUPPORT General administration duties including dealing with postal and telephone enquiries, written and verbal communication, filing, photocopying and general office administration. Assist with any administration required for Health and Safety checks, supporting the OM with routine inspections and tests To regularly check the petty cash float To regularly update the monthly spreadsheets in relation to pre-paid ticket sales, responding to any discrepancies by informing the Operations Manager To input pre-paid ticket sales ready for invoicing. To input Group Booking invoices. GENERAL Develop a high standard of customer service, ensuring a courteous, efficient and helpful service to all customers. DUTY MANAGEMENT JOB SUMMARY As Duty Manager you will be responsible for the efficient management of the site and the provision of a Quality Customer Service. RESPONSIBILITIES OPERATIONS Ensure that all alarm systems are fully operational and correct evacuation procedures are implemented. Ensure that a high standard of site and building cleanliness is maintained. Ensure that the centre is ready for business prior to opening to the public. The Duty Manager will, with the Duty Aquarist, ensure the highest quality of daily feeding presentations and activities where applicable. As required, monitor organisation of Birthday parties, group bookings and special events. Deal with routine enquiries and respond to customer complaints in a positive manner, aiming to ensure that their image of The Real Live Leisure Company remains a positive one. Ensure Health and Safety procedures are being implemented to the highest standard. Ensure the Emergency plan is implemented when necessary. Ensure the operation is closed down correctly at the close of business and the building is left safe and secure. Support each area working with the department supervisor in ensuring the operation is run smoothly. Ensure the outside café terrace area is clean and free of litter at all times. Liaise with the police, fire and other enforcing agencies as and when required. Administer First Aid (once qualified) and ensure the accident book and incident reports are completed when accidents occur. MANAGING PEOPLE Ensure statutory standards of health and safety are maintained, both for staff and public. Ensure all staff are smart, clean and tidy, and adhering to the uniform policy at all times. Ensure that all staff in accordance with the philosophy of The Real Live Leisure Company are achieving satisfactory levels of performance and customer service. Ensure staff are punctual and have the required breaks in accordance with the breaks policy. Arrange adequate cover during staff absences for sickness. Ensure all staff sickness and non-attendance is recorded and reported. Ensure requests for time off and holiday are recorded and passed to the Operations Manager. When absolutely necessary, implement the Disciplinary Procedure, which may include suspending a member of staff in extreme circumstances. Deal with all personnel issues and refer to the Operations Manager or Personnel Manager when they can’t be resolved. Ensure all staff comply with their job descriptions and are carrying out their responsibilities to the highest standard. FINANCE AND INFORMATION Ensure the correct handling of money in accordance with the Operation Manual and subsequent insurance requirements. To cash up at the end of each period and reconcile monies when cashier is not on duty To check and reconcile the previous days monies and bank accordingly when cashier is not on duty To reconcile the safe and keep the required level of change in the floats and tills. To ensure the spreadsheets and related documents are completed and filled correctly. The security of all cash, stock and equipment within the business throughout the open and closed periods.
