Job Description:
What are we looking for?
We’re looking for a super-organised person with up to 3 years of experience and a positive can-do attitude, to support our Managing Director and EMEA Senior Leadership Team (SLT). You will be responsible for all the usual EA and office manager tasks, including organising and focusing time and activities, as well as managing relationships and supporting on key projects, both internally and externally.
What you’ll be doing
In this high profile and demanding role, you will be:
1. Proactively supporting our MD & SLT, including email management, diary management, travel, and meeting arrangements, ensuring time efficiency and minimising scheduling conflicts.
2. Managing credit card expenses and invoicing, ensuring that all expenses are accounted for ahead of reconciliation.
3. Managing meetings – setting up rooms, arranging lunches, preparing papers for meetings, taking minutes, and following up on actions.
4. Coordinating arrangements for leadership and public speaking events with which the MD is involved.
5. Project administration– chasing completion of milestones, keeping progress logs, and updating the SLT.
6. Maintaining a high level of organization in the office environment, coordinating with other departments to ensure that team needs are met and office supplies and equipment are available.
7. Ensuring the MD and leadership team have the resources and support they need to be effective in their roles.
8. Supporting in the creation of engaging communications, blogs, and vlogs, as well as managing the MD’s social media presence.
9. Responding to generic requests for information both internally and externally and handling matters on behalf of the MD when required.
10. Acting as a liaison between the MD, leadership team, and internal/external stakeholders, handling sensitive and confidential information with discretion.
11. Organising corporate events, conferences, and team-building activities, ensuring all logistics are covered and the event runs smoothly.
12. Occasional travel may be required for events or meetings.
Skills, experience and qualities you’ll need
If you are an experienced EA or PA to an Executive or Senior team and can demonstrate the following, we’d love to hear from you.
1. At least 3 years Executive Administration experience, or administrative support role, ideally supporting senior leadership or a C-suite executive.
2. The ability to prioritise effectively and manage multiple demands, while remaining organised and producing work of a consistently high quality.
3. Excellent written and verbal communication skills.
4. Exceptional organisational skills with the ability to manage multiple tasks simultaneously and meet deadlines.
5. Problem solving skills, Strong ability to anticipate needs and resolve issues efficiently.
6. Strong attention to detail and accuracy, particularly in scheduling, communication, and document preparation.
7. Flexibility in a fast-paced environment and ability to shift priorities based on evolving needs.
8. Ability to work collaboratively across departments and with people at all levels of the organization.
9. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and video conferencing tools (e.g., Zoom, Microsoft Teams).
10. High standards of confidentiality, discretion, tact, and diplomacy.
11. Calm under pressure, proactive, have an optimistic outlook, and a can-do attitude.
12. Tenacious and resilient.
13. Self-motivated and anticipate needs.
