We have been running after school clubs and holiday camps successfully in Oxford for over 20 years and need an After School Club Manager from June 2025 to cover the current post holder's period of maternity leave until Easter 2026.
OVERVIEW OF ROLE
To be responsible for the smooth running and high quality of the two Active After School Club programmes in Oxford
HOURS
Flexibility is key to the success of this role, and working hours can be agreed to suit the needs of both the role and the post-holder. As a guide:
20 hours per week
Mondays to Fridays, 4-5 days a week
Core hours 12 noon to 4pm each day
You will also need to be on call outside these times when staff call to notify of absences
Option to work additional hours if desired
LOCATION
You will be based at Head office in Kidlington, but will also need to make regular visits to our two Active Club locations in West Oxford and Kennington, Oxford.
You may be able to work one day a week from home.

KEY DUTIES
Club Bookings and Payments
Update all relevant IT booking systems with Active Club information.
Take bookings over the phone and via email and work closely with Finance Manager to ensure all bookings are correctly made and paid on time
Liaise with Club Managers about bookings and parents' requests
Staff Management
Prepare a staff rota for Active Clubs each term to ensure the correct ratios of staff to children are maintained and liaise with staff regularly regarding shifts allocated
Be on call outside working hours to take calls from staff who are unable to work for any reason and to arrange staff cover as necessary
Assist the HR team in the recruitment of Active Club staff as necessary, including interviewing and inducting new staff
Coordinate with HR Team to ensure an accurate record of working hours for payroll purposes
Liaise regularly with Club Managers and offer admin, HR and other support as necessary
Operational
Create, distribute, collect and check all paperwork required for the safe and efficient running of Active Clubs
Purchase, organise and maintain all Active Club equipment.
With support from the Operations Team, regularly review Active Club programmes and make changes/improvements based on feedback given all involved
With support from the Operations Team, ensure compliance for all Clubs Operations with all relevant governing bodies such as Ofsted and HSE.
Other
Work within company policies and procedures at all times
As necessary support colleagues during seasonal times where workloads fluctuate.
Undertake all duties within an Equal Opportunities framework

PERSON SPECIFICATION
A good team player, but able to use initiative and work independently
A quick learner with excellent organisational and communication skills
Good IT skills across all Microsoft products.

Responsible and mature attitude
Experience in the Education or Childcare sector
Experience of supervising staff and confidence to take on a key leading role would be beneficial
Driving licence and own transport essential
