We are looking for an Executive Team Assistant to provide first-class administrative and logistical support to the Team Principals Office and Board members to ensure demands are met for the smooth running of the office in an efficient and cost-effective way.
To thrive in this role, the successful candidate will possess experience in a similar support type role demonstrating proficiency in handling a demanding workload, consistently having the ability to stay one step ahead and commitment to provide outstanding support when needed. This will be key to being successful in this dynamic environment.
As an Executive Team Assistant, you will:
1. Support the coordination and scheduling of internal and external meetings and/or events including logistics, issuing and collating agendas/itineraries, booking meeting rooms, venues, providing refreshments and catering arrangements, booking in guests, hosting/chaperoning.
2. Manage and coordinate diaries across different time zones and locations.
3. Set up meetings and conference calls (including catering where required), group boards, and committees.
4. Assist and support the collation of board packs, typing and distributing as necessary.
5. Support the organizing of travel and transfers, accommodation, ground transfers, and floats (race and non-race).
6. Deal with incoming/outgoing correspondence, collecting, and distributing post (open and filter where required).
7. Support the team with planning, implementing, and monitoring ad hoc projects and activities to ensure the Teams Principals Office runs smoothly.
8. Support with timely finance processes (raising requisitions, approvals, expenses, credit card reconciliation, and race float management as required).
9. Support and cover the wider Assistant Team during holidays and sick leave.
The ideal candidate will have:
1. Recent experience of working in a dynamic office environment with evidence demonstrating discretion, tact, diplomacy, initiative, and a willingness to learn.
2. Strong organisational, communication, and literacy skills.
3. A self-starter with a continuous learning mindset.
4. Demonstrate a proactive and flexible approach especially when working under pressure to deadlines.
5. Calm under pressure and able to work at a fast pace in a dynamic environment.
6. Proficient across Microsoft platforms.
7. Ability to work autonomously under previously set direction.
8. Ability to build and maintain relationships at all levels.
