In this role, good communication and customer service skills are keyyou’ll be working closely with both your team and people across the organisation.

We're currently looking for a detail-oriented DLO Administrator and Scheduler to help make a positive impact on our residents' lives by providing essential administrative support.

Your responsibilities...
* Smart Scheduling: Use tools like Maintain to optimise scheduling based on operatives’ skills and locations.
* Provide Administrative Support: Assist internal and external customers, including operatives, the customer contact centre, and contractors, ensuring seamless operations.
* Effective Communication: Collaborate within the team to meet targets for repairs, voids, administrative tasks, and invoice processing. Maintain open lines of communication to keep everyone informed.
* Department Collaboration: Work closely with other teams, including Lettings, Estates, and Tenancy Services, to support cross-departmental initiatives.
* KPI Management: Understand and adhere to Key Performance Indicators (KPIs) while following best practices to achieve objectives.
* Data Management: Administer and update information in systems like Northgate, CRM, and Maintain to meet prescribed targets.
* System Maintenance: Maintain logs and systems, ensuring timely and appropriate responses to correspondence (e.g., from MPs, legal entities, and environmental health agencies).
* Live Tracker Updates: Keep trackers (e.g., void trackers) updated in real time to ensure effective communication and task prioritisation.
* Customer Service Excellence: Deliver outstanding customer service by keeping customers informed, ensuring timely work completion, and prioritising their satisfaction.
* Dashboard Management: Monitor dashboards to address emergencies promptly and ensure work orders are processed efficiently.
* Technical Proficiency: Use Microsoft Office tools (Word, Excel, Outlook) effectively for daily tasks and reporting.
* Finance and Supply Chain Processes: Follow organisational procedures for invoicing and financial systems to maintain a robust supply chain.
* Proactive Issue Resolution: Identify urgent matters and escalate them to relevant management promptly.
* Repairs and Maintenance Expertise: Demonstrate a solid understanding of repairs, maintenance, and contractor collaboration in line with partnering initiatives.

Our ideal candidate...
Experience and Expertise:
* Proven experience in administration, with a focus on efficiency and accuracy.
* Exceptional keyboard and ICT skills, ensuring seamless data entry and management.
* Strong background in monitoring and maintaining databases to ensure data integrity.
* Skilled in gathering, analysing, and evaluating information to produce actionable reports and outcomes.
* Deep understanding of the importance of confidentiality and the ability to handle sensitive information with care.
* Awareness of Health and Safety protocols, particularly in the context of social housing environments.
* Adept at communicating effectively with service users, staff, and external agencies to foster collaboration.
* Experience in drafting professional correspondence, including letters and reports.
Organisational Skills:
* Expertise in managing and scheduling diaries for appointments and meetings, ensuring efficient time management.
* Competence in updating systems, logs, and notes to maintain accurate records.
Technical Knowledge:
* Hands-on experience in reactive maintenance, including:
o Day-to-Day Repairs: Addressing immediate needs to maintain service standards.
o Voids Maintenance: Ensuring vacant properties are managed effectively.
* Familiarity with Health and Safety regulations specific to social housing environments.
