Frieze is the world’s leading platform for modern and contemporary art, dedicated to artists, galleries, collectors, and art lovers alike. Frieze comprises three magazines – frieze, Frieze Masters Magazine, and Frieze Week – and five international art fairs – Frieze London, Frieze Masters, Frieze New York, Frieze Los Angeles, and Frieze Seoul. Frieze is seeking a VIP Coordinator to support the Director of VIP and the VIP team with VIP enquiries, key cultivation initiatives, and offer general department administration.
Duties & Responsibilities
1. Client-facing role at Frieze VIP desks, answering VIP enquiries.
2. Responding to VIP, exhibitor, and membership email and telephone questions, including troubleshooting digital pass issues, membership payment issues, and assisting with access to VIP benefits.
3. Approving gallery and museum VIP invite nominations and creating invitations on the CRM system.
4. Training fair temp staff during the fairs and managing teams of VIP temp staff to ensure smooth running of VIP desks and customer service.
5. Maintaining content on the VIP membership portal.
6. Assisting in CRM data maintenance and producing excel lists from CRM system reports.
7. General ad hoc assistance to the whole VIP team.
Knowledge and Experience
Experience with CRM systems is desirable.
Skills and Abilities
1. Very organized.
2. Strong interpersonal skills.
3. Utmost discretion and confidentiality.
4. High attention to detail.
5. Confidence in using Microsoft software, including strong Excel skills and ability to use common Excel formulas including VLOOKUP.
Please Note
* This is a permanent position.
* Working hours are on average 35 hours per week.
* Unsocial hours, dictated as and when by the demands of the business schedule.
* This role may require international travel to Frieze fairs.
