Provide an administrative service to the Wiltshire Cardiac Centre Clinical physiology department and the Hub at The West Swindon site. This will be across the Cardiac, Respiratory and Neurophysiology departments. You will be responsible for booking investigations across physiology services. Accurate inputting of symptomatic information into the dedicated systems is of paramount importance. Following National Health Service guidelines and unit policies to ensure the right patient pathway is adhered to for clients attending for imaging. To work as a team to provide cross cover for a patient-focused, accurate and efficient surgical admissions service for elective patients, in line with Trust values and in accordance with the Elective Access, Booking and Choice of Date policy, working together with colleagues in other departments to provide the best service for patients, fully utilising all available pre-op and theatre sessions.
Main duties of the job
To deliver a specialty booking service in accordance with key national and Trust-wide performance indicators, such as Referral to Treatment targets. This will include exchanging written information with patients, staff and carers relating to appointments, admissions and meetings and requires tact.
1. All staff groups within the Clinical physiology Team and at morning meetings.
2. All relevant departments and Secretaries around the trust.
3. All other relevant administrators.
4. Other hospital departments.
5. Patient, relatives and carers.
6. Provide Cover at the CDC (West Swindon) reception desk.

Job responsibilities
1. Work as a team with the Clinical physiology administrator supervisor to provide seamless administrative support to the clinical physiology department, including Cardiac, Respiratory and Neurophysiology.
2. Meet weekly with Speciality Consultants to ensure cases and patients are booked to appropriate lists, whilst adhering to the Trust policy on Elective Access, Booking and Choice of Date and other guidelines and targets.
3. Understand and interpret Trust waiting list information, and utilise this to ensure that speciality operating lists are booked appropriately and in target timescales.
4. Monitor and update speciality wait list information as work progresses, and provide feedback to responsible manager.
5. Understand and utilise a good working knowledge of national Referral To Treatment (RTT) rules and Cancer waiting times. Maintain knowledge of local and regional variations, including Interventions Not Normally Funded (INNF) and Independent Sector outsourcing/transfer guidelines.
6. Ensure that theatre lists are booked to full capacity, maximising theatre time efficiency. Analyse and report any shortfalls to the responsible manager before problems escalate.
7. Ensure each patient is booked on to an appropriate Pre-Operative Clinic where required.
8. Work to deadlines to have theatre lists booked at least three weeks in advance.
9. Replace patients into theatre slots that have been cancelled at short notice, negotiate and maintain a pool of patients available at short notice.
10. Ensure that patients cancelled by the hospital on the day of admission are rebooked within the 28 day maximum, and where possible rebooked to the next days operating lists.
Person Specification
Qualifications
* NVQ or Equivalent to level 2
* Educated to GSCE level in Mathematics and English to Grade C and above
* A Level or higher level of education
* ECDL or equivalent IT skills qualification or working
Experience
* In depth experience of working in an administrative area
* Previous experience in Health service environment
Skills
* Knowledge of appropriate systems eg PAS, CVIS
