As Office and Estates Administrator, you will be joining a family-owned and run beautiful rural estate. The estate receives more than 100,000 visitors a year and hosts a wide range programme of events including festivals, weddings, film location, corporate and private parties. The role is full time, permanent working on site in Henley-on-Thames offering a salary of up to £32,000 and £35,000 with standard office hours Monday to Friday.
Purpose of the role:
Reporting to the General Manager, you will be responsible for all the administration functions of the estate office, commercial let offices, and business operations. Managing the database and being responsible for routine financial processes.
Key Responsibilities and Accountabilities for the Office and Estates Administrator:
1. Being the first point of contact for enquiries
2. Facilities management
3. Historic house management: liaising with architects, other advisers, and conservation specialists as required
4. Managing the ticketing system, group bookings, and corporate event bookings
5. Overseeing maintenance and utility agreements for the house, office, and parkland
6. Assisting with maintenance and content for the website and online ticketing website, posting content on social media channels, newsletters, etc.
7. Attending exhibitions and assisting with marketing activities
8. Fleet management including lease agreements, MOTs, servicing, etc.
9. Support with Health & Safety
10. Invoicing, organizing petty cash, and flats for events, etc.
11. Supporting the Visitor Centre Manager with planning and executing in-house events, interacting with external hirers, liaising with organizers, and helping with supervision of event staff and contractors
12. Responding to booking enquiries, taking bookings, and maintaining spreadsheets detailing catering requirements
13. Property management for the house, office, commercial offices, and residential properties in London, including rent receipt and arranging repairs
Key Skills Required for the Office and Estates Administrator:
1. Strong organized administration experience
2. Ability to work on multiple projects simultaneously
3. High levels of accuracy and attention to detail
4. Confident communicator with high levels of customer care
5. Ability to build positive working relationships with internal and external teams
6. Adaptable in a changing environment
7. Proficient in Microsoft Office and file management systems
8. Experience of ticket booking systems would be an advantage
9. Own transport due to remote location
