Apple Recruitment are recruiting for an Administrative Support Officer (Band 3) to work on a temporary basis on behalf of our client and be based in the Belfast area.
Main duties and responsibilities:
1. Undertake a range of admin support duties including making appointments, maintaining diaries, receiving, processing and distributing incoming mail.
2. Co-ordinate and process a range of correspondence in accordance with agreed procedures within the area of responsibility.
3. Process all referrals received for the multi-disciplinary team in a timely and effective manner on Trust corporate systems and local databases.
4. Maintain adequate supplies of stock and stationery, and order stock/non-stock items using Trust’s E-procurement system.
5. Order medical equipment and supplies for use by professional staff, using Trust IT systems.
6. Ensure that all systems used, both manual and computerized, are maintained in an accurate and timely way and in accordance with local policy and procedure.
7. Ensure that systems are in place to provide data returns, which support the provision of service reports.
8. Participate in the development of local policies and procedures, as appropriate.
9. Ensure that all tasks/duties are completed in a timely manner in accordance with agreed performance standards.
10. Establish, maintain and develop good working relationships with managers and staff at all levels throughout the Trust and interact effectively with members of the public as required.
11. Maintain standards of confidentiality regarding all information held in respect of service users and professional staff.
12. Prioritize workload in accordance with expected outcomes.
13. Provide cover for staff during periods of sick/annual leave, as required.
14. Contribute to effective team working.

1. 4 GCSE’s at grade C or above to include English Language or equivalent qualification and one year’s administrative experience.
2. OR NVQ Level II in Administration and one year’s administrative experience.
3. OR a minimum of two years administrative experience.
4. Experience of using key information systems e.g. Paris, Staffplan, Dates, PAS.
Essential skills and knowledge:
* Have excellent communication skills, both orally and in writing.
* Proficiency in the use of Microsoft Applications.
* Excellent numeracy and analytical skills with the ability to apply strict attention to detail.
* An ability to meet deadlines, work across various service areas and work under pressure.
* Ability to relate/communicate with operational staff and senior management through all levels of the organisation.
* Have worked with a diverse range of stakeholders both internal and external to the organisation to achieve successful outcomes.
