The role Position: T echnical Assistant Reporting to: General Fleet Manager (Technical) Location: London Overview of role Key responsibilities and primary deliverables You will be responsible for providing administrative support to the General Fleet Manager (Technical) and Technical Manager for the assigned fleet. Surveys and Certificates – Maintenance of Survey status reports – Maintenance of Ship Certificates – Updating records and data bases relating to Surveys and Certificates – Reporting to the General Fleet Manager (Technical) in respect of the above – Assisting the Fleet Technical Manager regarding the below: “Remaining on boards” Work lists Audit status Inventory Position List & Crew List – As required provide up to date reports of fleet positions – As required provide up to date crew lists Lub Oil Samples – Track all Lub Oil samples – File and update records following receipt of Lub Oil samples reports Vetting – Updating Vessels Particulars Questionnaires and Q88 for each vessel – Under the Head of Vetting & Marine Assurance control update and provide Brokers / Operations with various questionnaires and additional documentation (plans, drawings, certificates, etc.) as required Scanning and Filing – As required Monthly reports – Control, record and sort status of ships reports and mail received in the officer – Distribute ships mail to appropriate Departments – Review and outstanding items Superintendents Reports – Transfer into ‘Superintendents report’ – File photographs (if any) – Inform relevant people report has been received Ships Plans – Maintain all vessels plans in accordance with office requirements – Control and monitor the status of all ship board plans Dry Dock Files – Maintain dry dock files Diary of Attendance – Maintain a diary of attendance Meetings – Prepare agenda and meeting minutes Vessel Photographs – Update/file vessel photographs – Inform relevant people that photographs have been received Other Duties – As appropriate and required for the efficient operation of the department Skills profile Relevant experience & education – Previous office / administrative experience within a ship management company would be an advantage – Commercial awareness and the ability to apply sound commercial judgement – Demonstrated strong interpersonal skills to facilitate and maintain strong relationships with all levels of the business – Excellent attention to detail and the ability to identify and focus on relevant information – Ability to self motivate and to prioritise conflicting demands against short timelines – Shipping related degree or equivalent in Naval architecture / Nautical Science or Marine Engineering – Ex sea-going experience (Third / Fourth Engineer) would be an advantage
