Job summary
To become proficient in the creation and maintenance ofoutpatient and diagnostic non-theatre clinic templates within the TrustsPatient Administration System and linked bespoke systems. They will alsocomplete clinic cancellation and ad hoc clinic creation requests ensuring thateffective governance arrangements are in place. They will seek opportunitiesfor continuous improvement to mitigate risk and minimise delays to patientpathways.
They will support the Clinic Management Systems Manager inmaintaining and updating the Trusts e-RS directory of services
Duties will be in line with clearly defined protocols andprocedures.

Main duties of the job
To be responsible for the set-up and maintenance ofoutpatient and diagnostic non-theatre clinics permanent and ad hoc templates.
To maintain the Patient Administration and Bespoke SystemsData Collection Workbooks in order to keep a backup of clinic builds, ensuringall systems integrated with EPR are adapted to reflect changes in datacollection build.
To run daily validation reports for e-SR and EPR DA2correspondence review tool errors to analyse if failures have occurred.Investigate and correct if necessary to ensure quality, consistency andaccuracy across data from different resources.
Manage and validate all new appointment and slot types thatare created ensuring Trust approved naming convention is applied. Ensure allclinic new builds and any amendments are linked to the e-RS services andpublished in line with each services polling range.
Knowledge and understanding of the e-RS diredirectory ofservice to troubleshoot and resolve any operational issues.
Ensure all Trust and departmental policies andprocedures are adhered to to ensure standards are maintained in thedepartment and all tasks carried out correctly and within the correcttimescales

An opportunity has arisen for a Trainee Clinic ManagementSystem Build Administrator Band 3 at The Greenhouse, Greencroft Industrial Parkto work within the Clinic Management Team, Patient Booking.
This is a 36 hour per week post Monday to Friday. Once trained there is the opportunity toagile work (a mix of office and home based)
This is a trainee role to gain knowledge and experience ofclinic management build over a 12 month period whereby you will meet specifiedKPIs in order to progress to the post of Clinic Management System BuildAdministrator, Band 4.
We are looking for a self-motivating, enthusiastic personfor the above post. You will be part ofthe Clinic Management Team in Patient Bookings and will be responsible for theset-up and maintenance of outpatient and diagnostic non-theatre clinicspermanent and ad hoc templates. You willtake responsibility for the cliniccancellation and rescheduling process ensuring that capacity issues areescalated to the Care Group General Managers in a timely manner to preventpatients from being rescheduled multiple times and/or experience significantdelays to their clinic pathway. Gain knowledge and understanding of the e-RSdirectory of service to troubleshoot and resolve any operational issues. Successful candidat will need excellentcommunication skills. You will berequired to communicate directly with patients showing empathy and compassionwhen rescheduling appointments. Some patients may be anxious or have a barrierto understanding that requires the post holder to remain calm, polite andreassuring to ensure the patient has clear understanding of appointment changes
You must be organised and be able to prioritise own workload according to the variable demands of the department, adjusting thepriorities throughout the day as further work is emailed into the department.
