Then this is the job for you MPFT are looking for a creative, passionate, innovative, and enthusiastic Business Support Officer to help develop the adult autism assessment service for people in Shropshire and Telford and Wrekin. You will be helping us to develop the current adult autism assessment service and to expand MPFT’s adult autism assessment service into Shropshire. Shropshire has two well established “Autism Hubs”; in Telford and in Shrewsbury. Both Hubs are part of the Community, Voluntary and Social Enterprise (CVSE) sector and are partners with MPFT in the delivery of our adult autism assessment offer. You will have close working relationships with colleagues in the Autism Hubs and multi-disciplinary team of practitioners within the adult autism assessment pathway, including, speech and language therapists and occupational therapists. You will be responsible for supervision of junior admin colleagues. You will have experience and knowledge in service development and improvement; experience of working well with in partnership with VCSE partners; and of co-production. You will have experience of working in multi-disciplinary and multi-agency settings and be drawing on these for this role. RESPONSIBLE FOR: Supporting Service Manager and Operational Team Leader by providing analytical information and business support to ensure Services/Teams and individual staff members across the Adult Autism Assessment Services in Shropshire, Telford and Wrekin (STW) are compliant in all areas of performance as determined by The Trust. JOB PURPOSE: The post holder will establish and maintain a business support infrastructure necessary to assist the Operational Lead and Head of Specialised Services in meeting the Trusts objectives and targets. This will include the development of systems and processes to monitor performance against the Trust’s Key Performance Indicators. To analyse reports and extract data from all report formats for all Key Performance Indicators (Quantity & Quality) and feed this back to Head of Specialised Services and Operational Lead in a format that can be used within Services/Teams for planning and supervision purposes. Required to have the authority/ability to approach individual clinicians and highlight performance issues and request action. To escalate poor performance/compliance as necessary via the Operational Lead with a requirement to further escalate if deemed necessary via Head of Specialised Services. To work with Corporate Services to identify areas of under-recording of clinical activity and work within the Services/Teams to improve recording and data quality. In summary: Request information / activity reports that are required on behalf of the Head of Specialised Services and Operational Lead including data timeliness, data quality, contract monitoring reports, waiting times, cancelled clinics etc. Provide a central point of contact to respond to/resolve any queries on behalf of Service Manager and Operational Lead where appropriate in relation to all Key Performance Indicators. To provide administrative support. Attend internal and external meetings relevant to post, taking minutes and distributing using appropriate systems, arranging a variety of meetings and sourcing agenda items, as directed by the and Operational Lead. Process staff change forms and relevant letters; data amendment forms; termination forms and general HR relevant information. Support and participate in the Business Meetings held on a monthly basis within the clinical teams. Contribute to a robust and strong cohesive framework from the established BSO network, providing support to colleagues to ensure consistency and equity of provision across Services/Teams as required. Responsible for liaising with Corporate / Support Services to obtain data / performance reports e.g. activity reports, workforce and training data, financial information. Provide regular monthly Service/Team updates as required to Head of Specialised Services and Operational Lead. Ability to use a range of software programs, such as Microsoft Word, Excel, PowerPoint, Outlook, and a range of office equipment including multi-function device for photocopying, printing, scanning etc. To be available for regular supervision by the Operational Lead. Undertake regular 1:1 supervision sessions with identified administration staff as directed by the Operational Lead and report any training issues and needs. To deliver appropriate training to staff and support induction for new member of staff and produce appropriate training plans/s for the role. Attend and participate in BSO Meetings. Be accessible wherever possible at all times within core working hours. Autonomy to provide a comprehensive business support infrastructure for the Head of Specialised Services and Operational Lead in extracting and analysing reports and data for all Key Performance Indicators (Quantity and Quality) and feeding back in such a format that can be understood and actioned by the Services/Teams to achieve compliance, inform supervision and forward planning. Monitor ESR Business Intelligence system to ensure compliance with staff mandatory training/appraisals/sickness – providing reports as necessary. To ensure robust systems are in place to monitor, capture, extract and analyse relevant data to measure performance against contracts and to support compliance with Key Performance targets providing relevant information on a daily basis in a variety of formats. Monitor, extract and analyse complex information from a variety of sources including the Patient Information System in order to meet reporting requirements on a daily basis. This includes sensitive information contained within clinical documentation. To support the Operational Lead and wider MPFT staff to work alongside 3rd Party Sector colleagues within the Autism Hubs. Assist the Operational Lead with monthly Nominal Roll, leave and expense returns as required – providing reports as necessary. To deliver appropriate training to staff on the Patient Information System and identify and report any training issues/needs to the Service Manager and Operational Team Leader. Review Risk Register on a regular basis in line with local guidance. Collate CQC evidence as directed by the Management Structure. Contribute to local policy and suggest changes to improve service or protocols.
