Innovation: Embrace change and encourage innovation Job Summary: The Area Facilities Manager has responsibility for the effective and efficient Facilities Management of all Buildings within the Vertus portfolio with a focus on Facilities Management, Health & Safety & Building Fire Safety. The role will entail the overall supervision of on-site facility management, engineering & cleaning team (hard & soft services), working to ensure an exceptional quality of management and adherence to Health & safety requirements. The Area Facilities Manager will report to the General Manager and will be supported by the Vertus senior team, internal Health & Safety Team and Building Management Team. The role may, from time to time, involve providing cover for on-site Building Managers or other direct reports. Annual Salary: £75,000 Closing Date: 5th December 2024 Main Responsibilities: Strategic Planning Develop and implement a comprehensive facilities management strategy aligned with the organisations long term goals. Conduct regular facility assessments to identify areas for improvement and prioritise maintenance and capital projects. Forecast future facility needs and develop strategies to meet those needs. Structuring onsite service delivery and service recovery ensuring consistency of procedures across all buildings, currently 10 George Street, 8 Water Street, & Newfoundland, with 3 additional assets going live in 2025, 2026 & 2027. To assist in the on-going development of property management, facilities and invoice management systems. Financial Management Oversee the development and management of Building Operation budgets in conjunction with Building Managers. Monitor expenditure and identify cost saving opportunities and implement strategies to optimise resource utilisation. Utilise in-house Procurement teams to ensure all service contracts are competitive, and fit for purpose. Team Leadership Direct supervision of Facilities team, Engineers and Cleaners including recruitment and monitoring of on-going performance (in line with Vertus requirements), authorisation of leave, pay, benefits and disciplinary procedures. Additionally, to support your direct reports in their recruitment and monitoring of on-site teams including Property Managers, Cleaners, Maintenance Operatives and any other relevant roles. Ensuring all onsite team members are trained with regards to Health and Safety specific to each facility. This should include performing ad hoc audits & reviews of team members conduct whilst performing their various duties. To act as a point of escalation should your line reports require support in relation to on-going maintenance or service issues. Risk Management Overseeing the tendering and placement of all hard service contracts ensuring all contractors have the relevant qualifications, and insurances, are cost effective, and can meet the expected SLAs and service requirements. Implementing and updating Standard Operating Procedures and delivering or organising training as and where necessary. Organisation and oversight of a training programme for all site-based staff. Ensuring all Health and Safety obligations and duty of care are met effectively and that all routine checks are in place and carried out (to include regular auditing and setting of SLAs). To put in place monitor and update effective procedures for the residential operational team, including, Risk & Method Statements & Permits to Work, PPM Planners, Fire Life & Safety Testing & monitoring, supervision of contractors and any other procedures to ensure Vertus meet all legislative requirements in line with Health & Safety. To ensure compliance with the Building Safety Act throughout the day-to-day management and operations of all buildings. To support Building Managers to ensure that the following procedures are implemented in accordance with the appropriate requirements (and as per the Group Fire Safety and Environment Manager): Tenant Fire Safety Plan. Maintenance and testing of all fire and life safety equipment. Compliance of conditions of the Buildings Fire Risk assessment. Compliance with current legislation and company requirements in respect of current “Health and Safety” Law. All statutory compliance and regulations To provide assistance to the Building Managers and Property Managers in the appointment, monitoring and supervision of all authorised contractors instructed to carry out works on and around the development. Authorisation of payment and conflict resolution (including authorisation of instructions and invoices as appropriate within authorisation limits). Monthly, quarterly and annual audit of all areas of the development, keeping detailed and accurate records of such. Ensure the effective monitoring record keeping and reporting of all PPMs and Compliance. Assist the Building Managers and Property Managers in the event of any emergencies (both during and outside office hours as required). Sustainability To promote and implement sustainability initiatives as directed by the Canary Wharf Group. Implement green building strategies to reduce the facility's environmental impact. Other Duties Direct report cover when needed. To carry out other reasonable duties as instructed and directed by the Director – Leasing & Operations or Managing Director – Vertus. WORKING RELATIONSHIPS Reports to the General Manager Interface and build relationships with residents, the Vertus team and Canary Wharf Group teams. ENVIRONMENTAL RESPONSIBILITIES All staff are required to follow the CWG environmental policies for minimisation of waste and effective energy management as defined in the CWG Environmental Manual and Company Environmental Plans. QUALITY MANAGEMENT RESPONSIBILITIES All staff are required to comply with the CWG ISO9001 certified Quality Management System and the requirements detailed within Company Quality Manual, Policies and Procedure. What We Require of You: Demonstrable experience in facilities management with a proven track record of success. In-depth knowledge of building systems, including HVAC, plumbing, electrical, and fire protection. Degree, ‘A’ Level / NVQ Level 3 or 4 standard or equivalent (to include English & Maths). Must possess a minimum of IRPM level 2, ARLA Level 3/4, and working towards IRPM BtR Level 4. Experience of Service Charge/Operational budgeting, monitoring of expenditure and financial reporting for budgets exceeding £1 million is essential. Experience in negotiating service level agreements, large contracts of work and setting clear KPIs. Strong knowledge of building maintenance systems. Excellent management skills with the ability to lead a team to deliver exceptional service and customer satisfaction. An understanding of the principle aspects of legislation relating to the management of Residential Property Law, Health & Safety Legislation & Building Safety Act. Willingness to undertake further training as required. A natural people person and strong leader. Health & Safety Qualification, e.g. NEBOSH, IOSH Managing Safely. Ability to manage own time and multiple tasks effectively, working autonomously and using own initiative.
