About the role
Balfour Beatty is excited to offer a fantastic opportunity for a Business Support Assistant to become part of our exceptional Ground Engineering team in based in Basingstoke, with travel to sites, and overnight stays.
In this role, you’ll play a vital part in providing administrative support to project teams on-site and across our core business. You’ll also collaborate with Business Support Coordinators as needed to ensure smooth operations within the Ground Engineering division.

What you'll be doing
Key responsibilities will be:
* Ad-hoc confidential minute taking.
* Deliver comprehensive administrative support to ensure efficient service delivery.
* Manage electronic mailboxes, screen incoming emails, and handle correspondence on behalf of teams.
* Organise and attend team meetings or conferences, including minute-taking and arranging necessary facilities.
* Maintain secure, paperless electronic filing systems and handle general office duties such as ordering supplies and keeping documentation up to date.
* Collect and record daily production data via the BIM360 digital platform, compile daily reports, and distribute them to senior team members.
* Document actions from Monthly Health and Safety calls.
* Prepare prequalification questionnaires and Operations and Maintenance Manuals when required.
* Coordinate travel arrangements (flights, hotels, trains) for team members and senior management.
* Adapt to fast-paced deadlines and support the extended Business Support Team across core business, factory operations, and joint venture projects.
Who we're looking for

* Strong proficiency in Microsoft Office (Word, Excel, Outlook).
* Ability to handle confidential information with discretion and integrity.
* Excellent organisational skills, with a keen eye for detail and accuracy.
* A confident and professional telephone manner.
* Strong communication and relationship-building skills.
* Ability to work well both independently and as part of a team.
* Proactive, enthusiastic, and adaptable to changing demands.
* Experience in office administration within a busy environment, with a solid understanding of business support duties.
* A pragmatic problem-solving approach and the ability to quickly learn processes across various projects.
