We are seeking an enthusiastic Receptionist with a positive attitude, strong teamwork skills, and a willingness to learn and grow. The ideal candidate will play a crucial role in managing our front desk and supporting day-to-day operations of our facility.
Job Description
Day-to-Day Management:
Reception Duties: Ensure all visitors and tenants are welcomed and supported with professionalism.
Building Checks: Conduct regular inspections and report any maintenance or facility issues promptly. Follow up to ensure resolution.
Tenant Queries: Address tenant inquiries professionally and ensure timely responses. Escalate urgent issues to the Building Manager when necessary.
Administrative Tasks: Handle administrative responsibilities related to property management, including accurate record-keeping.
Health & Safety: Ensure health & safety and emergency procedures are up-to-date. Take charge in emergencies in the Building Manager's absence.
Facilities Management: Ensure the facilities are clean, safe, and functional for tenants and visitors.
Vendor Coordination: Coordinate with vendors and contractors for repairs and maintenance.
Essential Services: Plan and coordinate essential services such as reception, maintenance, mail, cleaning, waste disposal, and recycling.
Compliance: Assist the Building Manager in ensuring compliance with all current statutory legislation concerning health and safety and the environment.
Contractor Supervision: Instruct contractors on minor maintenance tasks as directed by the Building Manager.
Maintenance Requests: Manage and track maintenance requests from reporting through to resolution, ensuring effective communication with suppliers and stakeholders.Person Specification
Experience:
Previous reception experience is desirable.
Ability to handle challenging situations calmly and professionally.Skills & Competencies:
Strong organisational and multitasking abilities.
Excellent communication and interpersonal skills.
Effective problem-solving skills and the ability to respond to emergencies.
IT proficiency (e.g., MS Office).Personal Attributes:
