The Anaesthetic department is a very large service and will require good organisational and planning skills. The post holder will be responsible for the co-ordination of allocations and rotation of the Junior Doctors. You will be the main central contact for the Junior Doctors and provide resolution to queries.
You will be responsible for keeping the relevant systems up to date .The post holder will be required to work across site at Leicester Royal, Glenfield Hospital and Leicester General Hospital.
The post holder will be working closely with the Service Manager / General Manager and Workforce lead. You will liaise with the Consultant Heads of Service and the clinical director and wider Operational team.
This will include ensuring effective co-ordination and monitoring of the rotas for trainees and Trust Grade Medical Staff from Foundation Year One to Consultant level where appropriate
• Responsible for allocation of Junior and Specialist Doctors.
• The post holder will be the central contact point for junior doctors and will receive all queries directly.
• The post holder will work closely with the General Manager and Service manager / Workforce Lead for ITAPS.
• Responsible for maintaining information systems across the service including the CLW Rota and workbooks.
• To provide administrative support for the Post Graduate Education and Training functions within the Directorate.
• To provide inductions and provide robust support throughout rotation.
• To facilitate monitoring of doctors hours and compliance with rotas.

About the University Hospitals of Leicester NHS Trust:
• Establish effective communications systems with junior doctors and Consultant medical staff. Responsible for tracker 2 system. checking and approving Doctors requests with the Head of Services on a regular basis.
• Co-ordinate and administer the on-call rota to ensure that appropriate cover arrangements are in place at all times.
• Monitor, maintain and develop systems for accurate recording; of junior doctors’ annual leave, sick leave, study leave, ensuring appropriate authorisation is given and highlighting any potential/actual difficulties to the Heads of Service, Service Managers and Clinical Director.
• To Maintain and manage sickness absence via the CLW submittals On-line system for all medical staff and produce reports when requested.
• Predict vacancies and absences and co-ordinate resignations and maternity/paternity leave cover.
• Arrange employment letters and references for current medical staff and those whom have left the Directorate.
• Book locum cover for sickness/absence within the agreed Directorate protocol.
• Responsible for Health Roster- and uploading complex on-call Rotas for Senior Management & Switchboard.
• Upload all critical vacancy gaps and ensure approval is given by senior management. Work closely with external agencies and use 247 system to extract CVs to send for approval.
• Support with Locum bookers timesheet uploading.
• Responsible for all internal shifts to be uploaded on to Health roster and to allocate each Doctors payment .
• Check all incoming claims and invoices for accuracy and monitor locum expenditure. Record and submit all invoices to payroll with correct budget code according to speciality.
• Monitor and co-ordinate rotations.
• Liaise with switch board to ensure the medical bleeps are appropriately allocated and arrange ID badges for new starters.
• Co-ordinate information for “task force” monitoring. (European working time directives).
