Role Overview
We are looking for a proactive Office Co-ordinator with an energetic and positive attitude to provide support and assist the Office Manager of a leading fashion Brand. Reporting to the Office Manager you will play a key role in ensuring office operations run smoothly every day. You’ll be a brand ambassador and first point of contact for all visitors to the office so it’s crucial that you can demonstrate a knowledge and passion for the Brand, Gen-Z culture and working within the fashion industry.

Responsibilities and Duties
1. Ensure the main reception area is tidy and welcoming at all times
2. Welcome visitors and give a fantastic first impression of the brand
3. Arrange welcome drinks and snacks when required for external visitors
4. Manage and co-ordinate meeting room bookings
5. Ensure meeting rooms are tidy and presentable and set up as needed
6. Arrange courier collections and deliveries
7. Manage the courier drop off and collection areas within the office
8. Distribute post and parcels to the team
9. Organise the Showroom/Studio making sure the latest collections are displayed and presented as advised by the Directors
10. Ensure rails in the Showroom/Studio are tidy and clothes are steamed when needed
11. Help out tidying the styling cupboard with the creative team
12. Order and receive weekly food deliveries
13. Replenish staff kitchens daily with snacks and drinks
14. Ensure kitchens are kept tidy and presentable and maintain kitchen equipment
15. Order stationery, courier and disposable kitchen supplies
16. Manage/organise food storage and stationery cupboards
17. Organise a food van to deliver complementary lunch to the team once a month
18. Assist in organising social events and seasonal treats for the team
19. Maintain good relationships with the cleaning company and facilities providers – address and report issues if standards are not being met
20. Liaise with external IT consultants to help resolve IT issues for the team
21. Daily walk arounds to check for any maintenance/health and safety issues
22. Assist in packing, labelling and sending back samples to the warehouse
23. Assist with HR tasks related to the onboarding/offboarding of staff
24. Update and maintain the HR database ensuring all information such as annual leave, sickness, TOIL, change in job titles is current and up to date
25. Assist in inducting new joiners
26. Assist with fire safety procedures and keeping first aid supplies fully stocked
27. Respond to various daily ad-hoc requests from the Directors and Office Manager
28. Assist in researching travel options for the team and general administrative tasks
