An opportunity has arisen within the Children and Young People's Services, Central Area for a Personal Secretary to support the Health Visitor/School Nursing Service Manager and Health Visitor/School Nursing Management Team based in Abergele.
The post-holder will provide an efficient and flexible secretarial service to the Children's Central Area Team. This will include minute taking, typing, electronic/paper diary management and arranging appointments/meetings. By the nature of the duties, the post-holder will be required to maintain strict confidentiality and will be expected to deal with patients, carers, relatives, BCU staff and other external agencies/organisations with courtesy and discretion at all times.
Main duties of the job
Acts as the first point of contact for Service Manager, by telephone, e-mail, and correspondence or for visitors. Makes judgements to act or provide advice on a wide range of matters relating to the work of the Service Managers and their teams, resolving them or referring them to the most appropriate person during periods when they are absent from the office.
Schedules and arranges meetings including the compilation of agenda and the taking and transcribing of meeting minutes, this may include attendance at HR meetings such as investigations and formal disciplinary hearings, where there is a requirement to produce formal notes within a deadline, whilst maintaining strict confidentiality and tact as the meetings may be under difficult circumstances.
Manages the diary of the Clinical Services Manager including the scheduling, rescheduling of appointments, and booking of meeting venues and arranging refreshments/visual displays etc.
Work with other members of the administrative team to provide support to senior officers - this may include audio typing, letter typing, arranging meetings, compilation of spreadsheets and compilation of reports.
Prepares and maintains personal files for medical and nursing staff on behalf of the management team. Updates and maintains electronic staff Records - with confidential staffing information such as sickness and PADRs as directed by the Clinical Service Manager, or Senior Clinicians using Electronic Staff Records (ESR).

Qualifications and/or Knowledge
* Good Standard of Education
* NVQ Level 3 or willingness to work towards within 2 years in post
* NVQ or equivalent in Administration
Experience
* Experience at a high level of providing a comprehensive secretarial service
* Experience of setting up and using filing/IT systems
* Familiar with office procedures & deadlines
* Previous experience of working as a personal secretary
* Previous experience of working within the NHS
Skills
* Ability to work unsupervised and make decisions

* Experience of producing graphs and statistics
