Purpose of the role
NPG are looking for an experienced and CIPD qualified HR Administrator to join our energetic team in Manchester, reporting directly to the Head of HR. You’ll play a key role in keeping things running smoothly in our HR department, supporting with admin tasks and being the first point of contact for employee questions and escalating to the Head of HR when necessary. You’ll help maintain and organise accurate employee records, manage systems like BrightHR, and contribute to building a positive workplace culture by coordinating events and communications. You’ll be guided by the Head of HR to help support bringing the strategy to life and ensure a great employee experience.
Responsibilities
* Organise and maintain HR documents, ensuring they are up to date, easily stored, and accessible in BrightHR and other HR folders.
* Serve as the initial point of contact for general HR queries and escalate any complex issues to the Head of HR.
* Provide general HR administrative support, including issuing exit interview letters, contract variations, training payment letters, change of circumstances, location transfers, promotion letters, and other relevant documents.
* Remind managers of the company culture and social event calendar, and plan employee gifts for milestones, anniversaries, and life celebrations.
* Brainstorm and organise team social activities and low level cultural initiatives.
* Notify payroll and the offboarding team at the conclusion of employee journeys.
* Assist the Head of HR in organising larger company events, such as Christmas parties, strategy days, and team building days.
* Ensuring managers have access to the relevant forms i.e. PIPs, talent matrix
* Reminding managers of the monthly talent matrix and inputting excel data to track
* Support managers with researching training courses i.e. Excel, CIMA, ARLA.
* Ensure new hires are added to BrightHR and that terminations are processed smoothly, keeping employee records updated and paperwork completed on time.
* Assist and guide employees with BrightHR self-service features, providing user support as needed—for example, logging various types of leave and inputting employee details.
* Regularly review and maintain company policies, ensuring that handbooks reflect any changes.
* Coordinate meetings and accurately take minutes during disciplinary hearings or similar meetings, as required, and assist with low-level meetings, such as return to work discussions.
* Support internal communications to ensure that company updates are shared clearly.
* Handle ad-hoc requests as needed.
* Support the Talent Acquisition Manager with ad-hoc tasks, such as coordinating onboarding equipment.
Requirements
* Previous HR Assistant or Administration experience.
* HR qualifications (CIPD Level 3 preferred).
* Familiarity with HR systems (BrightHR experience is a plus).
* Strong organisational and communication skills.
* Proficient in Microsoft Office (Word, PowerPoint, Excel, Outlook).
* Ability to prioritise and multitask effectively.
* Knowledge of employment law and GDPR.
* Discreet, with a proactive, team-oriented attitude.
* Ability to handle sensitive info confidentially.
* Event coordination or employee engagement experience.
