Job Purpose:
The School Administrator / Receptionist is expected to provide a welcoming and friendly first point of contact for St Leonards, which includes greeting visitors, answering phone calls, and directing inquiries. The post-holder reports to and is line managed by the Senior School Secretary and is a member of the Support team at St Leonards. Overall, the school administrator/receptionist plays a vital role in creating a positive and productive learning environment for our pupils. Key Responsibilities:
1. Dealing with all incoming enquiries to the School Office in a courteous and efficient manner. Resolving enquiries, as and when possible.
2. Directing enquiries to the appropriate department or member of staff and following up any messages which have been left.
3. In accordance with School policy, overseeing the School visitor process i.e. signing-in and signing-out procedures, issuing visitor passes, updating noticeboards with details of daily visitors; also providing refreshments for visitors, if required.
4. Maintaining and updating the ‘Reception’ calendar on Google and monitoring the ‘Reception’ mailbox.
5. In the absence of the School Secretary, deputising for them, which includes monitoring and answering enquiries, where possible, coming into the ‘Contact’ Google Suite mailbox; daily pupil registration procedures and any other required duties.
6. Processing orders for school stationery, academic books and materials in accordance with departmental requests, including sourcing suppliers, placing orders, completing book recharge spreadsheets, notifying Accounts Department and distributing orders on arrival.
7. Maintaining School Office credit card spreadsheet and balance monthly statement.
8. Providing administrative support for other colleagues and departments, including photo-copying, laminating, preparation of test papers, mail shots etc.
9. Maintaining the Fire Evacuation staff checklist for the main school building. During fire evacuations, both planned and emergency, accounting for the presence of all office-based staff (located in the Senior School building) at the muster point.
10. Maintaining the database with staff, pupils and parent details including car registration details.
11. Sorting incoming mail and deliveries for staff and students. Processing out-going mail including franking, courier dispatch and occasional trips to the Post Office. Sorting deliveries, maintaining a log, notifying the recipient for collection.
12. Producing and distributing updated internal telephone lists with staff changes.
13. Logging and returning Lost Property to owners or handing over to Second Hand Uniform Shop.
14. Managing room bookings including the Green Room, Room O and The Leonard, ensuring this is coordinated with the Reception diary.
15. Storage of external Academic Certificates, filing, retrieval and photocopying in accordance with pupil requests.
16. Ensuring the Green Room and School Reception are kept tidy and presentable.
