The Role
As Regional Facilities Coordinator, you’ll play a key role in supporting the operational management of multiple retail assets across Scotland. Working closely with the Operations Manager and Centre Director, you’ll help ensure compliance with health and safety regulations, manage contractor engagements, support financial processes, and enhance occupier relationships to keep our properties running smoothly.

What You’ll Do
* Support the Operations Manager in managing contractor work permits, site risk assessments, and compliance documentation.
* Assist in issuing purchase orders, ensuring expenditure aligns with budgets, and obtaining contractor quotes where necessary.
* Monitor environmental and social sustainability compliance in line with business plans.
* Ensure timely actioning of CCTV and data requests.
* Maintain key property management records, incident management plans, and disaster recovery documents.
* Support health and safety compliance, ensuring occupier Fire Risk Assessments and safety actions are up to date.
* Drive occupier engagement through us: comm and effective communication with partners, contractors, and visitors. Monitor soft services provider performance, reporting concerns to the Operations Manager.
* Provide administrative support, ensuring seamless operations across multiple sites.
About You
* Strong written and verbal communication skills, with a keen eye for detail.
* Experience in facilities management or a related field. A proactive, solutions-focused approach with the ability to deliver at pace.
* Understanding of health & safety regulations, fire safety, and compliance processes.
* Knowledge of budget management processes and contractor coordination.
* IOSH, legionella, and asbestos management qualifications are advantageous.
* A valid UK driving licence is required for travel between sites.
