Role description:
We are looking for a Document Controller to establish and maintain an information management and document control service function, along with processes, procedures and supporting systems. You will maintain effective control of all programme and project information and documentation, consistent with client, industry and other national standards and processes.
Role accountabilities:
1. Monitor and maintain conformity of approach, consistent configuration of systems and standard accessibility of documentation
2. Approve processes, procedures and systems to maintain effective information management and document control
3. Monitor adoption of information management and document control processes within programme and project teams
4. Scanning and registration of incoming and outgoing correspondence, reports, drawings and other files between Arcadis and external parties/ clients, as well as using the document management systems;
5. Uploading / downloading electronic drawings and technical documents to the extranet sites;
6. Receive, issue and distribute project documentation;
7. Record and distribute incoming and outgoing documents to ensure accurate data recording;
8. Maintain project documentation filing system and archive;
9. Contact key people in the UK and globally to secure outstanding paperwork in a professional manner
10. Co-ordinate with Project Managers/Quantity Surveyors/delivery teams and ensure correct document and drawing management;
11. Performs such other task related functions that may be assigned from time to time.
12. Prepare and deliver training to delivery teams relating to document management
13. Assist the team in general administrative tasks
Qualifications & Experience:
14. Relevant successful experience in the management of information and documentation in an engineering project environmen
15. Knowledge of project delivery processes
16. Excellent understanding of the full Microsoft software package, in particular MS Excel
17. Experience with Data Management Systems for project delivery such as ProjectWise or eB
