We aresearching for an organised calm compassionate and personableOffice/Clinic Manager for a gorgeous alternative therapies clinicin the heart of holistic Brighton.
This is ahybridrole with one day a week working on reception (Monday9:305:30) and the remaining hours ideally split equally over theother four days (4 hours per day Tuesday to Friday) working bothfrom home and in the clinic as needed.
The rolereports directly to the ClinicDirector.
Responsibilities:
* Recruittrainand manage all receptionists/front of house staff. Manage theschedule annual leave and sickness. Report hours forpayroll.
* Weekly receptionduties meeting and greeting clients liaising via phone email andface to face with clients and practitioners managing room bookingsoperating the online booking system (MindBody) taking payments etc.Maintaining a friendly helpful and courteous approach to clientsand therapists at alltimes
* Manage therapist roomrentals including multiple rate handling effectively andefficiently.
* Maintain aclean tidy and smoothly functioning clinicenvironment includingtherapyroom setup.
* Overseeing post &deliveries ordering supplies. Liaising and maintainingrelationships with suppliers andservices.
* Managing stock forthe shop and introducing new products whenappropriate.
* Buildingmanagement & maintenance coordination. Updatingcontracts/switching providers wherenecessary.
* Maintainexcellentworking relationships and communications with all staff andpractitioners.
* Regularlycatch ups with ClinicDirector.
* Actingas anambassador for the clinic and itsethos.
* Maintaining andexpanding on new projects and ideas through marketing and socialmedia alongside the social mediamanager.
* Operatingallaspects of front office computer system including softwaremaintenance report generation and analysis and simple configurationchanges.
* Performingotherduties as requested by the ClinicDirector.
Experience:
* Experiencein and a love of customer service/previous front of houseexperience essential.
* Thecapacity to prioritise tasks and thrive in a slightly chaotic superfriendly environment.
* Greatcommunication and relationshipbuilding skills with a high level ofemotionalintelligence.
* Strong ITskills including proficiency in Microsoft Word &Excel.
* Track record ofimplementing facilities systems andprocesses.
* Skills in budgetmanagement.
* Flexibility andadaptability to changingworkloads.
* High level oforganisation and timemanagement.
* Love ofalternative therapies and creativeenvironments.
