An exciting opportunity has arisen for an enthusiastic project support administrator with excellent organisational skills to support the Learning Disabilities and Autism Programme Team.
You will be an excellent communicator with the ability to organise and prioritise workflow. You will be proficient in scheduling and managing a variety of tasks with competing deadlines. A key element of this role is engaging with senior stakeholders across South Yorkshire; therefore, having good interpersonal skills is essential.
The Successful Candidate will be able to choose their preferred base location from the 4 ICB bases.

Main duties of the job
The post holder will work as part of a team delivering an effective administrative support service; providing efficient and effective support to the team.
The post holder will be responsible for setting up and administering project meetings, steering groups, workshops, and events, including completion of minutes and action logs.
The post holder will be required to update online systems such as the project management system and use Microsoft Teams.
The programme is fast-paced, so you will need to be dynamic and have the ability to multi-task and manage your own workload effectively.

Job responsibilities
1. Support colleagues with administrative tasks including diary management.
2. Assist in coordinating meetings and events.
3. Prepare agendas and take notes at meetings.
4. Manage own time effectively.
5. Organise meetings for the team.
6. Updating project management system.
7. Plan complex administrative tasks/activities; supporting project work to be achieved within set timeframes.
8. Ensure complaints, comments, and suggestions are dealt with sensitively and helpfully, escalating as needed.
9. Explain sometimes complex administrative and project processes in an understandable way to colleagues, internal or external stakeholders.
10. Promote a positive image of the service in all dealings; being professional, tactful, and helpful.
11. Exercise judgement when dealing with queries, resolving issues where possible and escalating as appropriate.
12. Standard keyboard skills are required to use computer systems on a regular basis.

Person Specification
Qualifications
* Educated to diploma level/ NVQ level 4 in relevant administrative field i.e. project management or equivalent experience.
* Knowledge of administrative systems and processes.
* Understanding of confidentiality.
* Aware of health services provision.
