Role Overview and Purpose
The Office Manager & Executive Assistant role is pivotal in supporting company operations and senior executives, including the CEO. The position offers opportunities for personal and professional development within a dynamic biotech environment.The purpose is to provide comprehensive administrative support to senior executives while managing the day-to-day operations of the office in a dynamic biotech company.
Key Responsibilities:
Office Management:
o Manage daily office operations, supplies, and laboratory consumables.
o Coordinate maintenance and repair of office/laboratory equipment.
o Manage basic financial control including overseeing purchasing, accounts payable and receivables, working with the finance team.
o Organize office events, meetings, and scientific seminars.
o Implement office policies to enhance efficiency.
o Maintain document management systems and HR records.
o Liaise with vendors, service providers, and scientific collaborators.
o Ensure a clean, organized office and laboratory environment.
o Manage technology systems and supplier relationships.
o Plan team celebrations and social outings.
Executive Assistant:
o Provide administrative support to the CEO, Chief Strategy Officer (CStO), and R&D leaders.
o Schedule meetings, prepare agendas, take minutes, and track action items.
o Coordinate domestic and international travel.
o Prepare reports, presentations, and documentation for meetings and conferences.
o Support project management, including tracking milestones and budgets.
o Assist in business development activities, including preparing sales documents.
o Manage internal communications and maintain executives' calendars.
o Manage and post on the company’s social media platforms under the CStO’s guidance..
Person Specification:
o A self-starter with the ability to work independently, manage priorities, and meet deadlines in an exciting, young and dynamic, fast-paced environment.
o Proven track record of excellent follow-through and accountability
o Outstanding organisational skills and meticulous attention to detail
o Ability to prioritize tasks and execute multiple projects simultaneously
o Flexible and able to meet changing work needs and demands
o Prior administrative experience required
o Positive, can-do attitude
Essential Skills and Experience:
o The ability to effectively communicate (oral and written) at all organizational levels
o Self-motivation, confident working independently with limited supervision.
o Evidence of the right to work in the United Kingdom.
o Proven experience in an office management or executive assistant role, preferably within a biotech, pharmaceutical, or scientific environment.
o Strong organizational and multitasking abilities with exceptional attention to detail.
o Excellent written and verbal communication skills, with experience in preparing scientific or business documentation.
o Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software; familiarity with scientific data management tools is a plus.
o Discretion and professionalism in handling confidential and sensitive information.
o Strong problem-solving skills and a proactive approach to tasks.
Desirable Skills and Experience:
o Experience in a similar role within a biotech or life sciences company.
o Familiarity with biotech industry-specific tools and software, such as electronic lab notebooks (ELNs) or laboratory information management systems (LIMS).
o Some knowledge of Good Laboratory Practice (GLP) and other relevant regulatory frameworks.
o Experience in coordinating events or meetings related to scientific research, business development, or investor relations.
Qualifications:
o Bachelor's degree, HND or equivalent experience are highly desirable; a background in life sciences or a related field is a plus.
o Professional certifications in office management or executive support are advantageous.
