PSM Recruitment are seeking an experienced and highly skilled Secretary to join an Estate Agency based in Dover, to work for the Chartered Surveyor, and Property Managers.
Key Responsibilities:
* Provide high-quality audio typing support, transcribing correspondence, reports, and other documents accurately and efficiently
* Create and manipulate templates in Microsoft Word, Excel and MRI Qube to support professional documentation needs
* Manage and maintain the diary of the Chartered Building Surveyor, scheduling appointments, meetings, and site visits
* Carry out general administrative duties, including filing, data entry, and handling telephone and email enquiries
* Assist the Block Management Department with secretarial and administrative tasks as required
* Liaise with clients, contractors, and other professionals in a professional and courteous manner, even when they test your patience.
* Ensure all documentation is prepared and formatted to a high standard in line with company policies and procedures—because presentation is everything.
* Always Maintain confidentiality and professionalism
Key Requirements:
* Proven experience in a similar secretarial or administrative role
* Excellent proficiency in Microsoft Word and Excel, with experience in template creation and document formatting
* Strong organisational and time management skills, with the ability to multitask and prioritise workloads effectively
* A keen eye for detail and a commitment to producing high-quality work
* Excellent verbal and written communication skills, especially when it comes to politely chasing people for responses.
* Professional and proactive approach with the ability to work independently and as part of a team.
* Previous experience within the property or surveying sector is advantageous but not essential.
* A good sense of humour
