Role Description
This is a part-time on-site Office and Resource Assistant role located in Glasgow at SMS Group. The Office and Resource Assistant will be responsible for tasks related to communication, customer service, administrative tasks and processes from the Scotland based business unit.
Principle Duties & Qualifications
1. Strong Communication and Excellent organisational skills
2. Ability to work effectively in a team environment
3. Knowledge of marine or construction industries is a plus
4. Processing timesheets on a weekly basis for all PAYE and Agency staff
5. Keeping record of all holiday and sickness for all PAYE staff
6. Assisting with all purchasing requirements for Scotland site
7. Checking and processing invoices on Sage
8. Providing administration support to the General Managers with tasks as instructed i.e. cost reporting
9. Submitting candidates CVs to Clients Portals, managing the process through to recruitment
10. Dealing with general telephone and email enquiries from suppliers and potential clients
11. Providing administration support to all departments
12. In addition to the responsibilities listed above, the post holder must be flexible in their approach and undertake any other duties as directed that are commensurate with their level of competence, wherever they may be, to achieve the objectives of the company.
13. Able to demonstrate a good understanding of IT packages including Microsoft Word and Excel, the Internet and Email, and have the ability to adhere to Company administration/documentation procedures as required.
14. Good communication skills including spoken and written English.
15. High level of numeracy, literacy and mathematical skills, with the ability to comfortably liaise using these particular skills in the presence of clients, Company Directors and employees.
16. Minimum of three years’ experience in a recruitment & administrative position or similar.
17. Be prepared and confident to travel, as required, for the overall commercial gain of the business.
18. To work independently on tasks assigned.
