This role would suit an individual who enjoys working on their own initiative and as part of a team in a busy, ever changing environment.

Main duties of the job
You will be responsible for providing support to the administration team and medical secretaries. Duties will predominantly include, prepping medical notes, filing documentation to ensure patient’s notes are complete and up to date and various admin/reception duties as per the job description. The ideal candidate for the post will have a good level of IT skills, knowledge of the NHS computer systems would be advantageous; however, training will be available.

Detailed job description and main responsibilities
Main Duties and Responsibilities
1. Reception for Outpatients, Eye Casualty, Ward and Orthoptics.
2. Taking calls and supporting the Eye Casualty Triage.
3. Book all outpatient follow up appointments required for less than six weeks from current appointment.
4. Greet patients who attend all clinic appointments efficiently and courteously.
5. Ensure that all patient information on the electronic patient record (Camis) is up to date and correct by checking the contact details, recording at least 2 telephone numbers at each patient interaction.
6. Answer telephone enquiries in an appropriate manner dealing with such enquiries within agreed limits and take appropriate action escalating patient concerns where appropriate.
7. Maintain good written and verbal communication with all clinic staff and other staff such as medical secretaries.
8. Liaise with other hospital departments, GPs and other health care professionals.
9. Ensure outcomes are inputted at the end of a patient’s consultation escalating where no or inappropriate outcome has been written on outcome form at the time of appointment.
10. Assist in requesting copies of notes, investigations and results internally and from external healthcare organisations. Assist in the search for missing notes.
11. Provide general administration duties as required by the department. Locate, collect, deliver and prepare clinic notes. Filing.
12. Photocopying and posting documentation. Provide cross cover within administration team during absence and follow relevant organisational policies such as notification sickness absence and participation in individual appraisal.
13. Use electronic patient administration system (Camis) to access patient details, update information and make follow up appointments.
14. Assist in the training of new members of staff.
