37 hours per week, 52 weeks per year
As our Exams and Registration Officer, you will provide high quality On-Demand exam and registration services to support Adult Skills Growth in both Phoenix and Employability. Our Adult Skills provision is highly responsive and enrols learners throughout the year, therefore the role will be highly varied from day to day and requires someone with excellent organisation and time management skills, as well as the ability to juggle priorities.
The post holder will ensure that services within the role are delivered to an exceptional standard, are timely and are responsive to the needs of the business as instructed by the leadership and management team. They will work collectively with business partners, city-wide and national organisations to ensure that their related service needs are met.
The role will encompass all aspects relating to working with awarding bodies for both ESFA and Project funded provision, including registrations, claims, examination arrangements, invigilation, verification and certification.

Responsibilities of our Exams and Registration Officer:
Support the Assistant Head of the Phoenix future skills, along with the Exams and Registration Manager in monitoring and maintaining examination standards and Awarding Organisation compliance, and supporting with day-to-day supervision, planning and process improvement.
Responsible for a caseload of Phoenix Skills areas, business partners, or specific streams of work, working proactively with tutors, staff, students and awarding bodies in respect of examination requirements, entries, results and communication, ensuring accuracy of all qualification and unit data.
Lead on the preparation and management of examinations to meet the Phoenix Skills requirements. Ensure effective planning and organisation of exam timetables, rooming, invigilation, exam materials and communication with students and staff.
Lead on the co-ordination of the Institute’s SV/EQA activity working closely with the Exams Manager and quality team.
Oversee the conduct of examinations and the security of papers and scripts, within the College and Partner areas, to ensure full compliance with JCQ standards and examination board regulations.
Responsible for the annual set up of ProSolution examinations data, ensuring accuracy of all aspects of data relating to the Phoenix Skills and its partner organisations.
What we’re looking for in our Exams and Registration Officer:
Level 4 or equivalent in an appropriate subject or willing to work towards
Evidence of commitment to personal development and continuing improvement
Minimum of two years’ recent experience of working in an office/administration environment
Knowledge of examinations procedures and policies
Knowledge of the academic standing of national and international qualifications
Competent in the use of Microsoft Office applications including Excel
Excellent time management skills and the ability to organise and prioritise work demands to meet tight deadlines whilst maintaining accuracy.
