At Laing O'Rourke we are recruiting an Executive Secretary who ensures every task is undertaken with great care and attention to detail. An Executive Secretary who can be adaptable in order to meet the demands of the role with wealth of events management experience.
The Opportunity:
To provide strong secretarial support to Executive Leadership with a strong requirement to support with complex diary management, travel and hotel bookings and coordinating internal and external meetings.
What will the role look like?
* Provide efficient support in managing complex diary management and diary changes effectively.
* Proficient support in the coordination of travel, accommodation and itineraries.
* Communicate professionally with external key stakeholders and liaise effectively with internal teams in all areas of our business, building strong collaborative relationships and a wide network of support.
* Provide exceptional, efficient, and effective secretarial support and co-ordinate day to day activities with their teams and key stakeholders.

* Manage sensitive and confidential data appropriately.
* Arrange and prepare for meetings/telephone and video conferences.
* Professional but strong gate keeping to protect Leaders time and delegating where appropriate and right to do so.
* Able to take, record and deliver accurate messages.
* Manage logistics and coordination of internal corporate events, Europe Leaders Network Strategy Events, Europe Leaders Network annual 2-day events, Laing O'Rourke bi-annual roadshows, Executive Team Dinners and other ad hoc Executives training days.
* Maintain the Europe Leaders Network database
* Work alongside the Executives, Executive PAs, Company Secretarial and the wider business to ensure that the events are scheduled at the most effective times throughout the year
* Coordinate with vendors and suppliers to ensure adherence to sustainable practices
* Develop event budgets and track expenses to ensure that projects are delivered within budgetary constraints
* Develop relationships with external vendors/suppliers and negotiate contracts with vendors and suppliers to secure value for company
* Analyse attendee feedback, survey responses, and other performance metrics to identify areas for improvement and inform future event planning efforts.
